Main settings

Before starting work, you need to go to the Settings and make changes according to the rules of your company.

General settings

In General Settings you can specify basic information:

Company Name
Language
Time-Zone
Currency
Name and Date Display



Important! This settings are for the whole company BUT you need to configure your own settings about Time-Zone and Language in our Account.





Visual configuration

Add a logo
Choose corporate colors of the company
Close default cover page



Accounts

In the Billing you can see the active block subscriptions in the system and check the payment information (if you tied payment card).



Alerts

In the Alerts you can create custom notifications. You can receive such alerts via email or web notification format (bell in the upper right corner).



Rules for setting the Alerts: You see 2 lines in front of you:

About what employees notifications will be sent
Who will receive these notifications



Import

In the Import tab, you can upload your employees to the database. You can upload files in CSV format.

Integrations

In the Integrations tab, you can activate the ability to integrate your PeopleForce account with Telegram and Slack accounts, as well as to add integration with job search websites for recruiting and Zoom.



Webhooks

With this functionality toy will have an ability to send an event with particular type that is available in PeopleForce into external software you use in your company.

Core settings

Home

Here you will be able to choose which Leave type you would like to show to your employees in Who's out widget on the Home Page.
If you do not select anything, all leave types will be displayed there.



Calendars

This will give you an ability to set up Company's Calendar permissions. Basically, you can choose what types of events you want to hide from employees.



Locations, departments, divisions and positions

It is important to indicate locations in the system. They could be countries or cities where company has offices in. In locations is also possible to include address, time-zone and Holiday Policy.

IMPORTANT! All employees you assign locations with particular time-zone will automatically have this time-zone set up in their personal accounts.



Then you need to create divisions and departments.

It is also necessary to add the positions that are available in your company.



All these items you can assign to your employees and also have flexible filtering in employees' directory, calendar, reports etc.

Holiday Policies

Holiday policies should be assigned to locations and will automatically work for employees who are associated with particular locations and they will have public holidays of the countries they are located.



You can check public holidays of each country.



Also it's possible to create a new holiday.



New created holidays can be:

Working holidays - they will be displayed in calendar but will not be a day off if employee will request leave and grab this day in his/her vacation period.
Non-working holiday - usual public holiday
Compensated working days - if you want to reschedule holiday to another day (if public holiday is on weekend and you want to give employees a day off during working week.



Employment Type and Skills

Employment Type can be assigned to employees and also there is a filter across the whole system where you can find needed group of employees by this item.



You also can add skills database so your employees can add them to their profiles and apply level or you can do this by yourself.





Leave policies

Settings for leaves are very important to set up and you can see all rules that can be applied here.


Work schedules

Here you can specify the standard business hours of your company (per week) and assign them for different employees.

If you do not assign work schedules to employees they will automatically have 8 hours standard working day Monday-Friday schedule.



Payment schedules
Next, you need to select Payment schedules: how many times per month (or for another period) you pay compensation your employees.

Onboarding and Offboarding

There are processes that will automate your big part of work where you and your colleagues should provide with a lot of information new employees and make sure he/she properly adopted. The same with the employees who are leaving the company, his/her feedback after your cooperation should be positive.

Probation policies

You can create several of these policies, depending on the company rules, edit them and delete them if necessary.



Termination Reasons and Types

When you terminate employees or your employees going to leave the company you can specify Reasons and Types of their termination. This will help you to have an accurate statistics of turnover. We understand that the Types are general categories, including voluntary and involuntary or other and the Reasons are more detailed categories.





Employee fields

Employee profile has several default groups and fields in PeopleForce In this setting you can add as many custom fields and groups as you need.
All custom fields and groups could be applied with permissions so you can show just needed info to your employees.



Custom fields can be with different types on your convenience.

Asset categories

In the settings, there are the Asset categories of the company, which you can assign to assets and have flexible and convenient filtering.

Permissions are the first thing you need to set up before giving your employees access to the system. Guide you can find here.
