Requests Tab Overview 🗂️

The Requests tab includes all forms that employees submit in the company (for example: self-service requests, data change requests, vacancy requests, termination requests, and others). Requests are divided into two sections:

Company
This tab shows requests submitted across the company. Employees who have permission to view specific forms can see and manage these requests here.

My
This tab shows requests that involve you. For example:

  • Requests submitted by you

  • Requests that require your approval

  • Requests where you took action as an approver

This helps you quickly track requests you are responsible for.


New sidebar in the Requests tab 📂

The Requests page now includes a sidebar that organizes requests by type.

Each request type has its own section, for example:

  • Self-service requests

  • People data change requests

  • Vacancy requests

  • Termination requests

Instead of scrolling through all requests, you can select the needed category in the sidebar to quickly view only that type of request. This makes navigation faster and helps HR teams manage requests more easily.


Right panel in requests 💬

When you open a request, you will see a panel on the right side of the page with all key information about that request.

This panel shows:

  • Submitter – the person who created the request

  • About – the employee the request is related to

  • Approver – the person responsible for approving the request (if an approver is set in the form settings)

In the same panel, you can also:

  • Leave comments about the request

  • Mention colleagues to involve them in the discussion

Keeping comments and important details together helps everyone follow the request process more easily.


Mentions and collaborators 👥

You can mention colleagues in request comments if you want to involve them in the discussion. When you mention someone, the system checks whether that person already has access to the form.

If the person does not have access, you will see two options:

  • Only mention – the person will not receive notifications and will not get access to the request. The mention will only appear in the comment.

  • Share request – the person will be added as a collaborator and will receive access to this specific request.

If you choose Share request, the person will receive:

  • a system notification

  • an email with a link to open the request.

A collaborator gets access only to that specific request, not to all company forms.

You can remove collaborators at any time if they no longer need access.

Who can add collaborators

Collaborators can be added by anyone who already has access to the request, including:

  • the person who created the request

  • the approver

  • users who have access to all company forms

  • admins

If the person already has access

If you mention someone who already has access to the request, the system will simply send them a regular notification about the comment.
In this case, you will not see the sharing options because they already have permission to view the request.


Export requests data 📊

You can export request data for reporting or analysis.

Click Export and choose one of the available formats:

  • Excel

  • CSV

After exporting, you will receive a system notification when the file is ready.
Click the notification to download the file.


Use Filters 🔎

Filters help you quickly find specific requests.

You can search by:

  • Status (for example: pending, approved, rejected)

  • Form type

  • Requested for (the employee the request is about)

  • Requested by (the person who submitted the request)

Using filters makes it easier to locate and review requests, especially when there are many requests in the system.
