A Group is a reusable audience of employees defined by conditions. Assignable rules already let you target employees using a simple condition, such as Location is Poland. Groups are most useful when you need to define a narrower audience based on several criteria, for example:
Location is Poland
Department is Sales
Employment type is Full-time
You can combine conditions with And or Or to create the exact employee audience needed for a particular process.
Once created, the Group can be reused in workflows, review cycles, surveys, and tasks. This saves time, keeps complex audience criteria consistent, and avoids rebuilding the same combination of conditions each time.
Create a Group
To create a group, complete the following steps:
Go to Settings > Core > Groups.
Click Create group.
Enter a clear name that identifies the employees included in the group.
Optionally add a description to explain who belongs to the Group or where it should be used.
In the Group members section, select how the Group should be formed:
Everyone - includes all employees.
Specific people - includes employees who match the conditions you configure.
When Specific people is selected, click Add condition and define the employee criteria. For example:
Department is Executive
Legal entity is TechCo
When you add several conditions, select how they should work together:
PeopleForce displays the number of employees who currently match the configured conditions and their avatars. Review the result after adding or changing a condition.
Click Save. The Group appears in the Groups list and becomes available wherever assignable rules are supported.
How group membership is updated
Group membership is based on current employee data. For example, when a group contains the condition Department is Executive:
an employee is included after their department changes to Executive;
the employee stops matching the group after they move to another department.
Manage groups
The Groups page displays all groups created in the account. From this page, you can:
search for a group;
open and review its configuration;
edit its name or description;
change its membership conditions;
review how many employees currently match it;
delete a group through the available actions.
After you update the conditions, PeopleForce recalculates which employees belong to the group.
Use groups in workflows
Use a group to define which employees a workflow applies to. For example, create a Managers in Poland group by combining the conditions Manager is a manager and Location is Poland, and use it for a workflow intended for this specific management audience.
When the workflow is configured with this group, it applies to employees who match the group conditions.

Use groups when creating tasks
Use a Group when creating a task for several employees who match the same conditions.
For example, assign a policy acknowledgement task to the Full-time employees Group instead of selecting employees individually.
This is useful for recurring or company-wide tasks that apply to a clearly defined employee audience.

Use groups in review cycles

Use a group when selecting the employees who should participate in a review cycle.
For example, create a group for a leadership review intended only for a specific legal entity.
This allows you to reuse the same participant criteria in future review cycles.

Use groups in surveys
🚀 Surveys are available in the Pulse product.
Groups can be used both to select survey participants and to analyse survey results for specific employee audiences.
Select survey participants
When configuring a survey audience, select a group to define which employees should receive the survey. For example, you can select the Full-time employees in Spain to conduct a survey for full-time employees working in that location.

Filter survey results
After a survey has been launched, use groups as filters to analyse responses from specific employee audiences. This allows you to compare survey results for precisely defined employee groups and identify differences in engagement, sentiment, or responses across different parts of the organisation.
Groups replace the previous survey segments. Instead of creating a separate segment specifically for survey analysis, you can create one reusable group and use it both in surveys and in other assignable rules across PeopleForce.
