Nomination and assignment of reviewers for peer groups

Learn how to nominate, assign, and approve reviewers for Peer groups in a review cycle.

If your review cycle includes one or more Peer groups, the next step after the cycle starts is to assign reviewers for each group.

A Peer group is a reviewer type that helps you collect feedback from a specific group of people in the same review cycle. For example, you can create separate peer groups for Peers, Tech leads, Project team, or Cross-functional collaborators. This helps keep feedback organized and makes it easier to understand which input comes from which group.

Each peer group can have its own name and its own reviewer assignment method. Peer groups use the General question template.

While creating a review cycle, you can choose one of the following methods for each peer group:

  • Employees nominate reviewers themselves

  • Only the employee’s manager or review creator assigns reviewers

  • Only the review creator assigns reviewers

  • Employee reference field

Employees nominate peers

If the 'Employees nominate peers' option is set, each employee chooses colleagues from whom they want to receive feedback. To do it, the employee must complete the following steps:

  1. Go to Performance > Review > My or click Nominate peers in the To-dos section on the Home page.

  2. In the Review cycle to-dos list, find the section for the relevant peer group.

  3. In the corresponding field, select 3-5 colleagues you interact with the most in your work processes and who can provide a useful and objective assessment of your performance.

  4. Click Submit my peers when the selection is done.

If the cycle includes several peer groups, employees may need to submit reviewers separately for each group, depending on how the cycle is configured.

💡 The selected peers must then be approved by the employee's manager or review creator (considered as HR) if the option 'Require managers or HR to approve nominations' is selected in the review cycle settings.

Manager or HR approval of peers

If the option to approve nominations is enabled in the review cycle settings, the nominated reviewers must be approved by the employee’s manager or the review creator.

A manager can access the approving menu in 2 ways:

  • Click Approve peers in the To-do's section on the Home page

  • Go to Performance > Review > My and open the reviewer nomination task

An HR or review creator can approve reviewers by completing the following steps:

  1. Open Performance > Review > Company.

  2. Find the required review cycle and open it.

  3. Click the progress bar or the Open button in the Submitted reviews column.

  4. In the opened tab, review the nominated reviewers for the required peer group and approve or decline them.

💡 If the manager deletes nominated reviewers, they will be skipped. HR can also delete reviewers, but can add anyone in their place.

Only the managers or HR select peers

If this method is selected, employees do not nominate reviewers themselves. Instead, the employee’s manager or the review creator assigns reviewers for the peer group.

A manager needs to go to Performance > Review > My. In the review cycle to-do list, they must find the reviewer assignment section for the relevant peer group, select the required employees, and submit them.

An HR or review creator needs to open Performance > Review > Company, find the required cycle, and open it. In the participants table, they can add reviewers for a peer group directly from the plus sign in the corresponding Peer group column. They can also click the progress bar or the Open button in the Submitted reviews column next to the participant, and a tab opens where they can select and submit reviewers for the peer group.

Only HR selects peers

If this method is selected, only the review creator assigns reviewers for the peer group.

To do this, the review creator must open Performance > Review > Company, find the required review cycle, and open it. After clicking the progress bar or the Open button in the Submitted reviews column, a tab opens where reviewers can be selected and submitted for the required peer group.

This method is useful when reviewer assignment should be managed centrally by HR or another responsible person.

To do this, the review creator must open Performance > Review > Company, find the required review cycle, and open it. In the participants table, the review creator can add reviewers from the plus sign in the corresponding Peer group column or open the side panel for a participant (by clicking the progress bar or the Open button in the Submitted reviews column) and select the required peer group there. After that, the selected reviewers can be submitted for the required group.

Employee reference field

If the Employee reference field is selected, reviewers are assigned automatically from the selected employee reference field in the participant’s profile.

When you choose this method while creating the review cycle, an additional dropdown appears where you select the employee reference field that should be used for reviewer assignment.

For example:

  • if the selected field is Mentor, the employee listed as the participant’s mentor will be assigned as the reviewer

  • if the selected field is HRBP, the employee listed in that field will be assigned as the reviewer

This method does not require employees, managers, or HR to nominate reviewers manually.

To use this method correctly, make sure that:

  • the selected employee reference field exists in employee profiles

  • the field is filled in for the employees included in the review cycle

If the field is empty for a participant, the reviewer cannot be assigned through this method.

Use different peer groups in one review cycle

A review cycle can include up to 9 Peer groups, and each group can be configured separately.

For example, in the same cycle, you can use:

  • a Peers group where employees nominate reviewers themselves

  • a Tech leads group where the manager assigns reviewers

  • a Project team group where reviewers are added through an employee reference field

This setup helps you collect feedback from different groups in one place, while keeping each feedback source separate and easier to analyze.

🎉 Once peers are nominated and approved, they receive notifications about the need to complete the review.
