Tasks help you keep track of what needs to be done and who's responsible for it. You can create tasks for yourself or your team, and PeopleForce also creates tasks automatically, for example from workflows, onboarding, document signing or forms. All of them are collected on the Tasks page.
Part 1: View your tasks
Go to Tasks in the main menu. Depending on your access, you can switch between:
My tasks: tasks assigned to you.
Team tasks: tasks assigned to your team, if you're a manager.
Company tasks: all tasks in the company.
Within each view, switch between three segments, each with a count:
To do: tasks that still need to be done.
Created: tasks you created for others, with a Status column showing whether each one is Completed or Incomplete.
Completed: tasks that are already done.
What the list shows
Column | What it shows |
Name | The task's name. Shared tasks are labelled Shared |
Type | Where the task came from, for example a general, workflow, signature or form task |
Assigned to | Who needs to complete the task |
Associated to | The person the task is about, for example a new hire |
Starts on / Due on | When the task starts and when it's due. Overdue dates are shown in red |
Created on | When the task was created |
Find the tasks you need
Use search, Add filter and sorting, or click a column heading to sort by it. PeopleForce remembers your search and filters next time you open the page.
Click Export to to download the list as Excel or CSV.
Part 2: Create a task
On the Tasks page, click New task. The form opens as a pop-up.
Enter a clear name and a description with any instructions. Add files or links if the assignee needs reference materials.
Choose who should do the task (see Individual or shared tasks below). By default, the task is assigned to you.
Set the due date.
Click Save. The assignee receives a notification.
Individual or shared tasks
Individual tasks: if you select several employees, each of them gets their own separate copy of the task.
Shared tasks: turn on Shared to create one task for several people (up to 10). Any of them can complete it, and once one person does, it's done for everyone. This is useful when it doesn't matter who does the task, as long as someone does.
Part 3: Complete and manage tasks
You can act on a task right from the list. Open the ⋯ menu at the end of its row:
Mark complete: marks the task as done. The person who assigned it receives an email notification (unless you created the task for yourself).
Reopen: reopens a completed task, for example if something still needs to be done. The change is saved in the task's history.
Sign: for signature tasks, opens the document to sign in a new tab.
Submit form: for form tasks, opens the form in a new tab.
Nudge assignee(s): sends a reminder to the people who haven't completed the task yet.
To see the full task, including its description, attachments and history, click it in the list.
💡 Tip: Use the Created segment to follow up on tasks you've given to others. The Status column shows which ones are still Incomplete, so you can use Nudge assignees in the row's ⋯ menu to remind people.
Good to know
Automatic tasks (from workflows, onboarding, signing or forms) appear in the same list. Their Type shows where they came from.
Overdue tasks are easy to spot: their due date is shown in red.
Nudge may be unavailable for some tasks, for example if everyone has already completed it. Hover over it to see why.
You can find a video guide about tasks on the Set a task page.
