One of the available actions in PeopleForce Workflows is Request a form. It allows you to automate the process of collecting structured information from employees or managers by assigning a form directly through a workflow.
This is especially useful for onboarding, equipment setup, internal changes, or any custom processes you want to streamline.
Once you've set up the trigger event, the next step is to add actions for execution. Here are the available options:
Create a task: Define specific tasks that need to be completed as part of the workflow.
Request a form: Prompt people to fill out a form—for example, to collect personal details, update profile information, or submit a change request.
Send an email: Automate the process of sending emails to relevant individuals or a group of employees.
Send a welcome letter: Automatically send an invitation to the system.
Generate a document: Configure the system to generate specific documents, such as offer letters, contracts, or reports.
Send a webhook: Integrate with external applications or services by sending webhook notifications.
Trigger the workflow: Automate workflow activation within existing workflows.
Google Workspace action: Automate the creation or deletion of Google Workspace for new hires or terminated employees.
How to request a form

Go to Workflows, then click + New workflow to start or edit an existing one.
If creating a new one, enter the name and description, and set a trigger.
Click the “+” icon under the trigger and select Request a form.
Select the form that users should complete. Each form type serves a different purpose:
Employee change request forms – used by managers to request changes to an employee’s role, salary, or working conditions.
Self-service request forms – allow employees to update personal data, such as contact details or emergency information.
Custom forms – created for specific company needs like collecting equipment preferences, policy acknowledgements, feedback, etc.
Set the Due number of days to define the deadline for form submission (e.g., “1 day” means the recipient has one day to complete the form).
Under Recipient, choose who should receive the form:
Manager of affected person – direct manager of the employee the workflow is triggered for.
Specific person – manually select any individual employee.
Referenced employee of affected person – choose a person linked to the affected employee via a custom field in their profile (e.g., HR manager).
Click Save to finish the action setup.

Once the workflow is activated, the selected form will be automatically assigned to the chosen recipient. They will receive a notification on the platform and via email.
They can complete the form from their To-do list or in the Requests tab.
If the form requires approval, the standard approval flow will apply after submission.
