Learn how to set employee change request using the new workflow action

We are launching a new feature called "Request form" to help you make the most out of workflows. This feature allows you to automatically send employee change request forms to managers, specific employees, or employee fields through a workflow, such as quarterly bonus reviews. You can also use these forms for other HR processes, like salary adjustments and data changes. All requests and approvals will be tracked within the form, making it easier for everyone to collaborate and ensure accurate employee data.

Managers will receive these forms through email and in the web app, complete them, and track their status. Approvers will then review and approve or reject the changes, all within the system.

Previously, HRs would rely on managers to remember to go into an employee profile and start a form, selecting the correct one. This new feature automatically sends the selected form to the manager based on workflow triggers.

Initiating an Employee Change Request

  1. Create or use the existing Employee change request form.

  2. In the sidebar, navigate to the workflow module.

  3. If necessary, create a new workflow tailored to the specific change request (e.g., bonus review, salary adjustment).

  4. Configure when the workflow should initiate the form request (e.g., quarterly, annually, or based on specific events).

  5. Include the Request form action in your workflow.

6. Choose the appropriate employee change form from the available options.

7. Specify who should receive the form request (e.g., employee manager, HR, etc.).

8. Set the number of days within which you would like the recipient to finish the form. On the last day, the system will send them email and web app reminders.

Completing and submitting the Form

  1. You will receive a notification (email or in-app) when a form request is assigned to you. The request will also appear in your To-do’s widget and your tasks.

  2. Click on the notification to access the form.

  3. Fill in the required information accurately and completely.

  4. Review the form for any errors or omissions.

  5. Submit the completed form for approval. Updated information will be added to the employee profile.

Tracking form status

You can track the progress of form requests within the workflow in the Workflow history tab.
