Send an offer to a candidate

Once a candidate has successfully completed all interview stages, HR can prepare a formal job offer. In this guide, you will see how to:

  • Create an offer using a template

  • Save it as a draft for review

  • Assign it for approval (if needed)

  • Send it to the candidate

  • Track its status after sending

1️⃣ Open the candidate profile

  1. Go to Recruitment → Vacancy in the menu.

  2. Select the vacancy.

  3. Find the candidate in the list.

  4. Open the candidate’s profile.


2️⃣ Create an offer

  1. In the candidate’s profile, open the Offers tab.

  2. Click Create offer.

  3. Select the vacancy (if required).

  4. Choose the offer template you want to use.

  5. Carefully review the content and make any necessary edits.

  6. Click Save and Preview to save it as a Draft.

7. Close the offer.

💡 Tip: Saving as a Draft allows you to review the offer later or ask someone else to check it before sending.


3️⃣ Assign for review (Optional)

If the offer needs approval:

  • Leave a comment in the candidate’s profile and tag the colleague who should review it.

To edit a draft offer:

  1. Go to the Offers tab.

  2. Click the three dots next to the offer.

  3. Select Revise offer.

  4. Make the necessary changes.

  5. Click Save and Preview.

  6. Scroll to the bottom and click Send offer letter when ready.


4️⃣ Send the offer

Once everything is reviewed and approved:

  1. Click Send offer letter.

  2. The candidate will receive the official offer by email.


5️⃣ Track the offer status

In the candidate’s Offers tab, you can see the current status of the offer:

  • Drafting – The offer is still being prepared.

  • Sent ✅ – The offer has been emailed to the candidate.

  • Opened 👀 – The candidate has opened the email.

  • Signed ✍️ – The candidate has signed the offer.

To see the exact date of each status, move your cursor over the status.

💡 Tip: You can preview the offer letter at any time by clicking the three dots → Preview.
