Work with candidates on the vacancy board

Track candidates through your hiring stages, customise what you see on each card and act on many candidates at once.

The vacancy board shows every candidate in a vacancy as a card, arranged in columns by hiring stage. It's the fastest way to see where everyone is in your pipeline, move candidates forward and keep your hiring on track.

Open the board

  1. Go to Recruitment → Vacancies and open a vacancy.

  2. On the Pipelines tab, make sure the board view is selected. You can switch to the list view at any time.

Use the switch at the top to see Qualified or Disqualified candidates.

Find candidates

  • Use search to find a candidate by name.

  • Click Add filter to narrow down the board, and use sorting to change the order of cards.

  • Click Export to to download the candidates as Excel or CSV.

PeopleForce remembers your search and filters, so the board opens the way you left it.

Read a candidate card

Depending on your card settings, each card can show:

  • the candidate's photo, name and current position,

  • Desired salary, Source and Applied on date,

  • Match, the candidate's AI prescreening result,

  • how many Notes and Interviews they have, and whether a Resume is attached,

  • Days in stage, with a warning when a candidate has been in the same stage for too long,

  • the offer status: Offer created, Offer sent, Offer seen, Offer accepted or Offer rejected,

  • the disqualification reason, on disqualified candidates.

Click a card to open the candidate's profile on top of the board. When you close it, you're back on the same board.

Customise the cards

Choose what each card shows, so you can focus on the information that matters for this vacancy.

  1. Open the card settings on the board.

  2. In Manage fields, choose which fields appear on the cards, and which appear in the Card footer.

  3. Turn these options on or off:

    • Show photo: show candidates' photos on the cards.

    • Show field icons: show an icon next to each field, which makes cards quicker to scan.

    • Highlight new candidates: mark candidates you haven't opened yet, so new applications stand out.

Move candidates between stages

  • Drag and drop a card into another column to move the candidate to that stage.

  • Drag a card up or down within a column to change its order, for example to put your strongest candidates first.

When a candidate moves to a new stage, their Days in stage counter starts again.

Work with several candidates at once

Select the candidates you want to work with. A bar appears at the bottom of the board, showing how many candidates you've selected and what you can do with them:

Disqualifies the selected candidates with the reason you choose, after you confirm

Requalify

Returns disqualified candidates to the pipeline (on the Disqualified board)

Add tag

Adds a tag to all selected candidates

Download CVs

Downloads the resumes of the selected candidates

Run prescreening

Runs AI prescreening for the selected candidates. Results appear on the cards as Match

Unassign

Removes the selected candidates from this vacancy, after you confirm. They stay in your candidate database

Good to know

  • The board updates automatically. When a colleague adds, moves or deletes a candidate, or when prescreening finishes, the board updates without refreshing the page.

  • Unassign isn't the same as delete. Unassigning only removes the candidate from this vacancy. To delete a candidate completely, open their profile.
