Profile Photos import

Learn how to upload your employees' profile photos in one go

Profile photos are usually added one at a time, on each employee's own page. When you have just moved to PeopleForce, or your office has had a new round of headshots taken, this import sets them all at once.

No spreadsheet and no column mapping here. You put the photos in a zip, tell PeopleForce what the file names stand for, and each photo goes to the person its name identifies.

ℹ️ This import updates only people already in PeopleForce. It never creates anyone, and it changes nothing but the profile photo.

🧾 Prepare your files

  1. Name each photo after the employee it belongs to. Use one of these, and the same one for every photo in the archive:

    The file name must be the identifier, not contain it. Ada Lovelace.jpg works; Ada Lovelace - headshot 2026.jpg and photo_E-1042_final.jpg do not.

  2. Check that every photo meets these requirements:

    • Format: .jpg, .jpeg, .png, .gif or .webp

    • Size: larger than 1 KB and smaller than 50 MB

  3. Put the photos in a .zip archive and upload that. The archive can hold up to 10,000 photos and up to 1 GB.

Note: Anything in the archive that is not an image is ignored (documents, spreadsheets, hidden files and the __MACOSX folder that macOS adds when you compress a selection). You cannot upload an archive with no images.

How file names are matched

  • Spacing, punctuation and capitals do not matter. Before matching, PeopleForce lowercases the name and treats any run of spaces, dots, dashes and underscores as a single space. So ada_lovelace.jpg, Ada-Lovelace.png and Ada Lovelace.jpeg all reach the same person, and a name your computer rewrote when saving still matches.

  • Full names work in either order. Ada Lovelace.jpg and Lovelace Ada.jpg both match, no matter how your account displays names.

  • Two employees with the same full name will never be matched by name. Rename those photos to the employees' work emails or Employee IDs, and import them as a second archive.

📤 Import profile photos into the system

  1. Go to Settings > Imports.

  2. Select Profile photos as the import type.
    ​

  3. Upload your zip archive.
    ​

  4. Under File names are, choose what the file names stand for - Work email, Full name or Employee ID.
    ​

  5. Click Next to preview data.

  6. Review the preview and start the import. The preview lists every photo in the archive and marks the ones that do not identify exactly one employee. It is worth reading before you start the import, because a photo marked here is one that will be skipped.

Valid photos are processed even if others cannot be matched. Unmatched photos are skipped and recorded in the import results.

📊 Track file upload history

  1. Open Import > History to view uploads.

  2. Check updated records and errors.

  3. Click the 3 dots > View logs to view detailed error messages.

What it means

file.jpg matches nobody

No employee has that email, name or ID. Check the spelling, and that you chose the right option under File names are

file.jpg matches N people - rename it so it identifies one

Several employees answer to that name. Rename the photo to a work email or Employee ID

file.jpg could not be read, or is larger than the limit

The image is damaged, or over 50 MB. Re-save it and import it again

Employee ID does not exist

The employee was archived between the preview and the import
