With PeopleForce, you can configure leave on demand to match your company’s specific policies, offering flexibility for employees to request time off without prior approval.

Here are the key details:

  • Employees can request leave on demand without needing their manager's approval. This type of leave is part of their overall annual leave balance, not additional time off.

  • In exceptional circumstances, such as critical business needs, the administrator can withdraw or delete the leave request on demand.

  • Unused leave on demand does not carry over to the next year and will expire if the employee does not use it within the calendar year.

  • This option is available only for leave policies that accumulate in full days, not hours. Employees must submit requests for whole days (e.g., 1 day, not 0.5 day).

Configure automated leave approval

In the leave policy settings, a new checkbox enables automatic approval for on-demand leave requests. Once enabled, you can set the number of days eligible for auto-approval. Employees can submit requests only in whole days (positive integers), and this feature works independently of any accrual or manual approval settings.

View your leave balance on demand

The updated Leave card in the employee profile under the Time Off section now shows the on-demand sub-balance in brackets, such as 19 days (4 on demand). This information is visible to employees for their own balance, to managers for their direct reports, and to admins for all employees.

Request leave on demand

The process for requesting leave on demand is similar to that of requesting regular leave. Here’s how to do it:

1. Choose leave type: Select the type of leave you want to request. The balance display will show the total available days, including regular days and days on demand (e.g., "19 days (4 on demand)").

2. Enable days on demand: In the leave request form, toggle the option labeled "Use days on demand" to enable it.

3. Select date range: Specify the dates for your leave request.

4. Add attachments: If needed, upload any relevant documents.

5. Submit your request: Click the Submit button.

After selecting the time range, you can see the Remaining row below the Total row, which shows the number of leave days you have left.

View your requests on demand

In the employee profile’s history section, on-demand leave requests now have a dedicated row. This row displays the date range of each request and the status, labeled as Approved / On Demand to indicate automatic approval.

Withdraw or delete the leave request on demand

In exceptional cases, such as critical business needs, managers can delete a leave request on demand. Here’s how:

1. Go to the employee’s profile.

2. Find the leave request on demand.

3. Click on the three dots next to the request.

4. Select Withdraw.

Employees can withdraw the leave on demand by following these steps:

1. Go to the employee’s profile and navigate to the Time off tab.

2. Locate the leave request on demand.

3. Click on the three dots next to the request.

4. Select Withdraw.

Administrators can withdraw or delete on-demand leave requests. If an administrator chooses to delete a leave request, this action permanently removes the request from the system.

Automated notifications for on-demand leave requests

The notification system automatically alerts managers and employees when an on-demand leave request is submitted.

  • Managers receive a notification that links directly to the specific leave request page, displaying all relevant details of the request.

  • Employees receive a separate notification confirming that their request has been approved.

FAQ

The manager does not have a Withdraw button for on-demand leave requests.

Managers can withdraw on-demand leave requests if the Edit feature in the Time Off tab of their role permissions is enabled.

This allows them to view and manage leave requests, leave history, and balances. Additionally, make sure the Allow employees to withdraw their leave requests checkbox is marked in the leave policy settings to grant this capability. The same logic applies to employees, enabling them to withdraw their own leave requests as well.
