Learn how to set up timesheet approvals

We’ve added a new feature to Attendance policies in PeopleForce that allows you to set approvers for timesheets directly within the policy settings. This simplifies the timesheet approval process by clearly defining who will approve or reject timesheets, ensuring better organization and efficiency in tracking employee work hours.

Set up attendance policy

The updated Attendance policy wizard now includes four customizable steps:

  1. In the Details section, name your policy to align with its intended purpose, such as “Remote Team Attendance” or “Warehouse Staff Timesheets.”

  2. In the Settings section, enable breaks, set daily break limits, and activate the autofill feature for entries and break hours.

3. In the Approvals section, assign approvers for timesheets from a flexible menu of options:

  • Manager: The employee’s direct supervisor to whom they report within the organizational structure.

  • Manager's manager: The indirect manager with greater influence or responsibility than the direct supervisor.

  • Specific employees: You can select any individual from the drop-down menu.

  • Team lead(s): The manager responsible for overseeing the employee's team.

  • 3rd level manager: The individual designated as the third-level manager in the organizational hierarchy.

  • Employee reference: An individual linked to the employee's profile through a custom field.

  • Department's manager: The manager responsible for the employee's department.

Additional features:

  • Skip unassigned approvals: Automatically bypass unassigned approvals to streamline the process.

  • Substitution for approvers on leave: Automatically forward approval requests to a substitute if the assigned approver is unavailable.

4. In the Employees section, assign the policy to specific locations, departments, or individuals. You can also add exclusions to ensure the policy applies only to relevant employees.

Submit a timesheet

The process remains unchanged: at the beginning of the month, you can submit the previous month's timesheet in the Clock In tab. Just open the tab, fill in or autofill the entries, locate the Submit button, and click it. Once submitted, the status will change to "Pending" and will be updated to either "Approved" or "Rejected" based on the approvers' actions.

After submission all approvers are visible in the Clock in page, allowing you to track the approval process and send nudges to speed up approvals if needed.

Notifications for timesheet reviews

Approvers are instantly notified when an employee submits a timesheet. These notifications appear in the Notification Bar and the To-Do's Widget, ensuring quick and easy access.

Approve or reject timesheets

Approvers can easily review timesheets by clicking on the notification or navigating to the To-do's widget and selecting Review request. The timesheet will be sent for approval to each approver one by one, according to the settings in the attendance policy.

If a timesheet is rejected, the approver must leave a comment explaining the reason. The employee can then revise the timesheet, make the necessary adjustments, and resubmit it for approval.

Track the timesheet statuses

The four-state workflow (Unsubmitted → Pending → Approved/Rejected) helps managers easily track the status of a timesheet in the Attendance tab:

  • Unsubmitted: The timesheet has not been sent yet.

  • Pending: The timesheet has been sent for approval but hasn't been approved or rejected.

  • Approved/Rejected: The timesheet has been either approved or rejected by the approvers.

Filter timesheet data

Use filters to quickly locate timesheet data for specific employees, departments, or statuses. This feature is particularly helpful for identifying timesheets with an Unsubmitted status, allowing you to send individual or mass reminders to employees to complete their submissions.

Nudge employees

Easily remind employees about unsubmitted timesheets using individual or mass actions. Nudged employees will receive reminders directly in the system notifications, ensuring timely submissions.
