HR managers and recruiters are responsible for obtaining consent from candidates regarding the use of their personal data. This is a crucial part of compliance with privacy regulations such as the GDPR.
How to request GDPR consent
To request consent from a candidate already in the vacancy funnel, follow these steps:
Open the candidate’s profile.
Click the three dots icon in the top right corner.
Select GDPR request consent from the dropdown menu.
This action will send a consent request email to the candidate.
What happens after sending the request
Once the request is sent, candidates will receive an email with a link to review information about the privacy policy. They can choose to either accept or reject the request. If they have questions regarding the deletion of their personal data, they can contact the privacy officer using the provided email address.
Where to track consent status and changes
After you request GDPR consent, you can always check what the candidate agreed to and whether the consent is still active.
Open the candidate profile and go to the Consents tab. Here you’ll see all consent types collected for this candidate and their current state. For each consent type, PeopleForce shows the key details in the table, including Status, Accepted date, and Expires date. If needed, you can also use Request consent from the same tab to send the consent request again.
If you need an audit trail, open the History tab in the candidate profile. PeopleForce records a history entry when a candidate gives or withdraws GDPR consent, so you can track when consent was granted and when it changed later.
