The Ashby integration helps you streamline hiring by automatically transferring hired candidates from Ashby to PeopleForce. When a candidate is marked as hired in Ashby, PeopleForce creates a profile with pre-filled data (for example, job and offer details), so you don’t need to re-enter information manually. Optionally, you can also sync candidate documents and attachments by adding an Ashby API key.
Before you start
Make sure you have:
Access to Settings → Integrations in PeopleForce (to install and configure the integration)
Admin access in Ashby (to create and manage webhooks, API keys)
Step 1. Install the Ashby integration in PeopleForce
After installation, you’ll see the Configure section with URL and Secret key. You can copy values, as you’ll use them when creating the webhook in Ashby.
Step 2. Create the webhook in Ashby
In Ashby, go to Admin → Integrations → Webhooks.
Click + New.
In Webhook Type, select Candidate Hired.
Paste the values from PeopleForce created in Step 1:
Request URL → paste the URL from PeopleForce
Secret Token → paste the Secret key from PeopleForce
Click Add to save the webhook.
From this point, every time a candidate is marked as hired in Ashby, Ashby sends a webhook event to PeopleForce.
Step 3. Configure PeopleForce notifications
In Settings → Integrations → Ashby, open Notifications and select the employees who should be notified to complete the hiring process in PeopleForce.
📥 If you select employees, they must have the Manage ATS inbox permission enabled in their role.
To do it:
Open the role assigned to the employee in the Settings → Roles & permissions section.
Go to Company → General.
Scroll down and enable Manage ATS inbox.
Otherwise, the selected employees won’t be able to access the ATS inbox to continue the hiring flow.
Step 4. Map Ashby data to PeopleForce fields
Use Data mapping to define what information PeopleForce should pull from Ashby and where it should be stored.
System fields
In System fields, map standard Ashby fields to the corresponding PeopleForce fields. Click + Add field to add more mappings.
Custom fields
Use Custom fields to map data that isn’t covered by the standard field list.
In Ashby, go to Admin → Organization Setup → Custom Fields.
Open the custom field you want to map and copy its ID from the URL (the part after the last
/).
In PeopleForce, paste this ID into the left input under Custom fields.
In the right dropdown, select the PeopleForce field where this value should be saved.
Use + Add field to map multiple Ashby custom fields.
Scroll to save and click it.
Step 5 (Optional). Enable document & attachment syncing
To sync candidate documents from Ashby, you must add an Ashby API key in the integration settings.
Create an API key in Ashby
Go to Admin → Integrations → API Keys.
Click New and give the key a name.
On the API Scopes step, enable Read access for Candidates and API Keys.
Finish creation, copy the API key, and store it securely. (You only have one chance to copy it.)
Add the API key in PeopleForce
Go back to Settings → Integrations → Ashby in PeopleForce.
In the Documents section, paste the API key into Enter your API key.
Select the document folder where PeopleForce should save synced candidate documents.
Click Save.
