Learn how to set up profile fields

Custom fields provide the flexibility to create and manage fields that are not included in the default employee profile. Whether you need to track specific certifications, project assignments, or any other custom information, custom fields empower you to tailor the employee profile to your organization's unique requirements.

To add employee profile fields, follow these steps:

  1. Go to the ''Settings'' section of the PeopleForce platform.

  2. Select the PeopleHR section, click on ''Employee fields.''

  3. Here, you can manage the fields displayed on the employee's profile page.

  4. To add a new group or field, click the corresponding button in the upper right corner.

5. Choose the appropriate field type based on the information you want to enter, such as single-line text, rich text, checkbox, date picker, number, single select, multiple select, file, or employee select.

6. Customize the field by providing a name.

7. Save the field to add it to the employee profile.


Editing Fields

You can also modify existing fields, change their order, or delete them if needed. However, deleting a field permanently erases the associated information, so it's recommended to deactivate fields instead if there's a possibility of needing the data again. You can change the order of group fields and fields within a group.


Creating New Groups and Fields

You have the flexibility to create new information groups to store personal employee information, their interests, insurance data, and other important parameters that matter to you. When creating a new field, you need to follow a few steps.

  1. Select the group to which you want to add the field.

  2. Choose the field type that best suits the information you want to store, such as single-line text, rich text, yes/no, date, numbers, files, single-select, multiple-select, or employee select.

  3. Name the field and provide a tooltip for users. The tooltip explains the information required in the field and is displayed in small font below the field when filling it out.

Let's take a closer look at the possible field types:

  1. Single-Line Text (in this case, the employee will have access to only one line for entering information) - this can be used for capturing addresses of your employees:

2. Rich text - if the employee needs to provide detailed information about anything, it can be a field about their interests or their responsibilities:

3. Yes/No ( Single checkbox ) - in the employee profile, this will be displayed as a checkbox. If the checkbox is checked, the answer will be "Yes," and if it is unchecked, the answer will be "No":

4. Date - used when you need to specify a field with a specific date, allowing you to enter only a single day, not a range.

5. Number - a field where you can enter a numerical value (for example, an employee identification number):

6. File - a field where you or the employee can add a file to their profile on the main page (these files can be in formats such as doc, pdf, jpg, png, etc.). Only one file can be added to a single field, and adding another file will replace the previous one.

7. Single Select - a field where you can specify multiple answer options in the settings, and the employee can choose only one option that best represents them. To do this, you need to list all the answer options in a column:

8. Multiple select - a field where the employee can choose multiple answer options from those specified when creating the field. The answer options should also be listed in a column.

9. Select employee - a field that allows you to select an employee from the list of those already registered in the system.
