Assigning the Onboarding workflow while creating New hire or Preboarding forms

Once the Onboarding workflow is designed:
If you intend to initiate the workflow immediately when a new employee is added to the system, incorporate it into the New Hire form. More details on creating the New hire forms are in our guide.
If you want the workflow to begin immediately after the new employee completes the fields in the Preboarding form, include it in the Preboarding form. More details on creating the Preboarding forms are in our guide.
Assigning Onboarding (classic) to an existing employee:
To assign onboarding to an existing employee, follow these steps:
- Navigate to the employee's card in PeopleForce.
- Click the three dots in the upper right corner.
- Select the "Assign Onboarding" option and choose the desired onboarding workflow from the provided list.
If you assign an onboarding workflow to an employee who has been working in the company for some time, the task will be counted from the hire date. For this, you can create several onboarding workflows for different groups of employees.
Tracking employees on classic onboarding:
To easily track employees undergoing onboarding, follow these steps:
- Access the "Directory" section in PeopleForce.
- Navigate to the "Onboarding" widget, which provides an overview of all employees currently onboarding.
Additionally, if you haven't assigned onboarding to an employee with a future hire date, they will be displayed in the "Onboarding" widget in the "Directory." This feature streamlines the assignment process and helps identify who still needs to be assigned the onboarding workflow. After one day from the hire date, the employee will be removed from the general list if onboarding has not been assigned.
Once onboarding is assigned, responsible employees will receive email notifications when tasks are started. The following example illustrates the email notification sent to the employee. Notifications for tasks starting in 3 or more days will be sent the day before, while notifications for overdue tasks will not be sent via email.
