Automatch documents with employees

Learn how to enable automatching and automatch your uploaded documents with your employees

PeopleForce now makes it easier to automatically assign documents to employees. Simply select the relevant employee fields and enable the automatching feature when uploading documents.

How it works:

The system will automatically suggest employees for each PDF/DOCX file based on the fields specified in the folder settings. Be sure to specify the matching fields in the appropriate folder settings.

How to enable automatching

1. Go to Settings > Documents.

2. Click on Edit from the dropdown menu of the destination folder.

3. Enable the Document automatching fields option.

4. Select the fields you want to use for automatching.

5. Click Save to apply the changes.

Automatch documents with employees

1. When uploading documents, enable the Automatch documents with employees toggle.

2. Click Assign employees. A status window will show how many documents match employee records. You can then send these documents to the automatically assigned employees (with an option to request eSignatures if needed) or Review all first.

Review and send matched documents

If you're going through this process for the first time and want to review all the files, click Review all. The files will be displayed to you, starting with the automatically matched ones, followed by the rest.

  • The system automatically selects an employee for every matched document in preview mode.

  • Once you're confident that all documents have been correctly matched, simply click "Send matched docs" and you're all set.
