Learn how to automate your daily recruit actions to reduce the workload

We are excited to announce the release of Recruiting automations, a new feature designed to streamline your hiring process by automating key actions. This update includes two core capabilities:

  • pipeline automation

  • and disqualify reason automation.

With the Recruiting automation, you can:

  • Automate recruiting actions when moving a candidate to a specific stage or disqualifying them, such as sending emails, assigning tests, adding tags, and setting tasks for your hiring team with ease!

  • Let recruiting automations manage routine tasks, allowing you to concentrate on critical aspects of recruiting, like interviewing and evaluating candidates.

  • Set up recruiting automation to send rejection emails when a candidate is disqualified, ensuring timely feedback that enhances the candidate's experience and leaves a positive impression of your company!

Set up pipeline automation

With Pipeline automations, when a candidate is moved to a specific stage in your pipeline, the system automatically performs predefined actions. These actions can include creating tasks for your team, sending emails to candidates, adding notes to their profiles, sending tests or assignments, or tagging candidates for easy tracking. This reduces manual work and ensures that critical steps are consistently executed at the right stage in the hiring process.

  1. Navigate to Settings in your recruiting platform.

  2. Select Pipelines from the settings menu.

  3. Choose the pipeline to which you want to add automations.

  4. Click on the stage where you want automation to trigger.

5. In the automation settings for that stage, select the actions you want the system to perform automatically when a candidate reaches this stage. You can choose from:

  • Create a task: Automatically assign tasks when a candidate applies for a position. For example, create a task like "Review new applicant’s CV and cover letter" and assign it to a recruiter, hiring lead, or specific employee to ensure timely follow-up when they are added to the New candidate stage.

  • Send an email: Automatically send emails to candidates using pre-made templates, such as the "Application email" or "Rejection email," or custom templates you've created in the Recruit settings. You can also write a new email from scratch. Personalize these emails using variables like {{candidate.full_name}} and {{vacancy.title}}. For instance, "Hi {{candidate.full_name}}, thank you for applying for the {{vacancy.title}} position."

  • Create a note: Automatically add notes to a candidate’s profile. For example, when a candidate is added to the pipeline at the first stage, you can set the system to add a note like "Candidate moved to New candidate stage on {{date}}. Please review resume and assign for first-round interview."

  • Send a test: Automatically send a test to the candidate, such as a pre-made soft skills test or a custom test created specifically for your company. This can help assess the candidate early in the process.

  • Add a tag: Automatically assign tags to candidates based on their status or actions. For instance, you could tag a candidate as "New Candidate" when they apply, making it easy to filter or search for them later.

6. Once you've selected the desired actions, save your changes.

Pipeline automations will not be triggered when candidates are added through import or via the API.

Set up disqualify reason trigger automation

The Disqualify reason automations work similarly. When a candidate is disqualified for a specific reason, the system will automatically perform the assigned actions.

For example, if a candidate is disqualified, the system can send a follow-up email with the rejection reasons, create a task, generate a note to the candidate's profile, or apply a tag based on the disqualification reason, helping you maintain smooth communication and record-keeping. To set up disqualify reason trigger automation, follow the next steps:

  1. Go to Settings and select Disqualify reasons from the menu.

  2. Choose the disqualify reason you want to automate.

  3. In the automation settings for that disqualify reason, select the actions you want the system to trigger automatically when a candidate is disqualified using that reason. You can choose from:

    • Create a task

    • Send an email to the candidate

    • Create a note

    • Add a tag

  4. After selecting the actions, save your changes. Now, when a candidate is disqualified for that reason, the system will automatically trigger the preconfigured actions.
