Learn about the external recruiter role and its usage

The External Recruiter role is designed to enhance collaboration with external recruitment professionals while maintaining stringent data security and confidentiality.

Many organizations collaborate with external recruiters or agencies to source top talent. However, providing these external partners with system access has traditionally caused challenges, particularly concerning the exposure of sensitive company information. The External Recruiter Role resolves this by providing a tailored access level that allows external recruiters to contribute effectively without compromising data security. External recruiters can only access the vacancies to which they are assigned and can add and manage their candidates within those vacancies.

Access permissions for the External Recruiter role

External recruiters have a specific set of permissions designed to balance functionality with security. Generally, external recruiters can view vacancies to which they are assigned and edit information that they have provided.

Vacancy actions available for the role:

  • They can view only the vacancies to which they have been assigned and only their activity within the vacancy.

  • They can also preview vacancies on the career site and share the vacancy.

Candidate Management available for the role:

  • They can add new candidates and manage only the candidates added by them.

  • They can schedule interviews with their candidates and the collaborators assigned to the specific vacancy.

  • They can send emails to their candidates.

  • They can request and view scorecards but cannot edit or submit them.

  • They can upload and view documents added by them.

  • They can request consent for future recruitment.

  • They can add notes and view the history of their activities.

External recruiters have their profiles where they can set basic settings and integrate their email clients (e.g., Microsoft Outlook or Gmail) for streamlined communication.

Adding an External Recruiter to the system

To grant access to the system, you must first add a user as an external recruiter. To do this, complete the following steps:

  1. Go to the Settings > Security > Roles & Permissions.

  2. Open the External tab and select the External Recruiters role.

3. Provide a recruiter's namesurname and email in the corresponding fields.

4. Click the Invite button to send a welcome letter so they can log into the system.

As a result, they will receive a link to join the platform.

Assigning an External Recruiter to the vacancy

After adding a recruiter to the system, you can assign them to the vacancy by following these steps:

  1. Go to the Recruit > Vacancies section.

  2. Select the vacancy to which you want to assign an external recruiter or add the new ones.

  3. In the Collaborators section, find the External recruiters field and select users from the list.

  4. Click Save to apply the configurations.

Managing external recruiters

In the Settings > Roles & Permissions > External tab, you can access the list of all external recruiters added to the system and the status of their access.

By clicking 3 dots next to the person, you can complete the following actions:

  • Send a welcome letter with login details;

  • Deactivate or activate user access to the system;

  • Delete the user from the system.
