How administrators can configure settings to protect sensitive candidate information

To ensure confidential recruitment data is only visible to authorized users, administrators can adjust the following settings:

Mark candidate fields as sensitive

You can now mark any system or custom candidate field (except Full name) as sensitive. Sensitive fields are hidden from users without permission Show candidate sensitive fields.

  • Go to: Settings → Recruit → Candidate fields, open the field you want to protect, and check the Sensitive box.

How to grant access:

  1. Go to Settings → Roles and Permissions → Recruiting → Recruiting Module Access.

  2. Enable the “Show candidate sensative fields” option only for those users who really need access to this data.

Control access to the mailbox

Viewing the Emails tab in the candidate card and sending emails now requires a separate Mailbox permission.

  • Go to: Settings → Permissions → Recruit → Access to recruitment module → Access candidate mailbox, and grant access only to users who should handle candidate communications.

Restrict sensitive data in exports and filters

Candidate and Vacancy exports now automatically exclude sensitive field data for users who do not have the Show candidate sensitive fields permission in their role.

Filters for sensitive fields are also hidden from unauthorized users. No additional setup is required — these restrictions are applied automatically based on sensitive field permissions.

By configuring these settings, you can limit the visibility of sensitive recruitment information and ensure only approved team members have access.

Candidate Confidential Fields

You can now mark any system or custom candidate field (except the full name field) as confidential. Such fields will be hidden from users who don’t have the “View candidate confidential fields” permission.

How to configure:

  1. Go to Settings → Recruiting → Candidate Fields.

  2. Open the required field and enable the Confidential option.

How to grant access:

  1. Go to Settings → Roles and Permissions → Recruiting → Recruiting Module Access.

  2. Enable the “View candidate confidential fields” option only for those users who really need access to this data.


Access to Candidate Communication

To view the Mail tab in the candidate’s profile and send emails, a separate Mailbox permission is now required.

How to configure:

  1. Open Settings → Security → Roles and Permissions.

  2. Select the role you want to update.

  3. Go to Recruiting → Recruiting Module Access → Candidates.

  4. Enable the Access to candidate email communication option.

Grant this permission only to users who actually work with candidate communications.


Export and Filters

  • When exporting candidates and vacancies, confidential fields are automatically excluded for users without the “View candidate confidential fields” permission.

  • Filters based on confidential fields are also hidden from unauthorized users. No additional configuration is needed — restrictions are applied automatically according to access rights.
