Workflow guide: Notify HR manager when preboarding form is completed

Create a workflow to inform HR manager that the preboarding form was filled in by a new hire

This guide will help you set up a workflow that notifies an HR manager when a new hire completes their preboarding form and assigns them a task, like continuing the contract-signing process.


Add an HR manager field

  • Go to Settings → People Data and create a new field called “HR manager”.

  • Set the field type to Employee.

  • This allows you to assign an HR manager to each employee in their profile.

  • When setting up workflows, you can use this field to send tasks and notifications to the right HR manager.


Add HR manager field to the New hire form

  • Go to the New Hire Form → Sections tab.

  • Add the HR manager field and make it required.

  • Now, when adding a new employee, HR must select an HR manager.

  • You can assign different HR managers for different employees or departments.


Create the workflow

  • Go to Workflows and give it a name and description.

  • Set the trigger to Manual (we’ll link it to the preboarding form later).

  • Add a task for the HR manager:

    • Purpose: Inform them that the preboarding form is completed and what actions to take next.

    • Assign the task to: HR manager field of the employee.

    • Optionally, enable a substitute so another HR manager can step in if needed.


Link the Workflow to the Preboarding Form

  • Go to Preboarding Forms → Settings.

  • Add the workflow you just created to the form.

  • Now, when a new hire completes the preboarding form, the assigned HR manager will receive a task immediately to continue the next steps.
