Overview of the PeoplePerform module

The PeoplePerform module comprises four main components: 1-on-1s, Objectives (OKRs), KPIs (Key Performance Indicators), and Performance Reviews.

1-on-1s

Regular 1-on-1s enhance communication, boost employee happiness, and identify early team issues, fostering a cohesive culture and career growth for direct reports.

Objectives

OKRs stand for “Objectives and Key Results.” OKRs involve collaborative goal-setting with measurable results to track progress and drive alignment.

KPIs

KPIs are measurable values indicating a company's effectiveness in achieving key objectives, with high-level KPIs focusing on overall business performance and low-level KPIs assessing departmental processes.

Reviews

Performance Reviews leverage talent, gather insights and align with organizational strategies, empowering employees to reach their full potential.

Performance tab in the system

In the Performance tab, you'll find various powerful tools to optimize your team's performance and enhance productivity. The tab includes several key sections: Overview, 1-on-1s, KPIs, Objectives and Reviews. Let's dive into each block's functionality to effectively manage your team's performance.

Overview tab

On the Performance tab, you will find an overview dashboard for 1-on-1s and Objectives.


In the Performance tab of the panel, the dashboard will display the following widgets:

- Statuses of all Objectives in your organization, indicating whether they are On track, Behind, or At Risk.

- Objectives categorized by Alignment, showing the achievement percentage by objective types.

- Relevant statistics related to the performance objectives.


The 1-on-1s widgets will provide you with the following information:

- 1-on-1s categorized by types.

- Number of scheduled and completed meetings.

- Relevant statistics related to 1-on-1s.

Important! Don't forget to apply a Date Range so that you can check Statistics for the certain period of time.

1-on-1s tab

Setting up 1-on-1 meetings


Open the 1-on-1 tab in the Performance tab. Here you can find all 1-on-1s created in your account for all the employees.


We also have a concept of 1-on-1s Types. This is needed for understanding the topic of the meeting, so you even should not open it. Also, you can choose an employee from the filter and understand the full history of communication with him/her.


Multiple ways to schedule 1-on-1 meetings

To set up a 1-on-1 meeting with an employee, you have several options:

  1. 1-on-1s dashboard: Access the 1-on-1s dashboard from the Performance tab. You'll find a quick button on the top of any page in PeopleForce.

2. ''Quick add'' button: Look for the quick button located at the top of any page in PeopleForce to create a 1-on-1 meeting.

3. Employee personal profile: Navigate to the Employee personal profile and go to the Performance tab. From there, you can initiate the 1-on-1 meeting.

Steps to create a 1-on-1 meeting:

1. Select the employee.

2. Choose the date and time for the meeting.

3. Optionally, choose a discussion template if needed.

After you click save, the page with the meeting agenda will be opened. There you can list Talking Points and Action Items. You can assign a responsible person to action items. To do this, when adding an action item, select an employee in the drop-down list and save the item. You can choose between two meeting participants. Or, you can hide some of them with "Private" option.

Don't forget to choose the 1-on-1 Type.

Keep in mind: the employee will not see the type before 1-on-1 starts.

You can also choose a 1-on-1 Template to automate your creation process.


1-on-1s templates

This option can be used if you have a particular agenda that should be used in certain 1-on-1 meetings. For this, you should go to Settings ---> PeoplePerform.


Once you create all needed templates, your employees can use them while creating their 1-on-1s meetings. All the templates will be displayed in the list, and also employees will be able to click on each template to check all talking points created and also will have the ability to add extra points.


Besides this, there are notes that could be left after 1-on-1 is finished:
- Shared notes (visible for Creator, Employee, and Admin)
- Private notes (visible only for the Creator)
- Comments (for an employee to leave his/her own thoughts)

After the employee saves the created 1-on-1, the system will send an invitation to the employee's email, and he will have the ability to add it to his/her calendar (if they do not have PeopleForce Calendar integration set up)

Also, when editing a 1-on-1 meeting, you can change the order of action items as needed. Please note that all changes are now automatically saved. We took care of it just in case something urgently needed to be noted during the meeting.



Configuring objectives

Here is the Objectives tab where you can manage all Objectives in your organization.
There are 5 types of Objectives:

- Company-Wide
- Location
- Division
- Department
- Individual

These types give the ability to build a relationship between Objectives and create a moving tree that will be managed by each employee's performance.


There is also a filter here, which you can use to manage all of this information. You can find an objective by owner, name, status, etc. There are also four statuses: (open, overdue, closed, and archived).

You can create a new objective from the Employee Profile, from the ''Quick Add'' button, and from the Objectives management page.
What needs to be done to create an objective:

- Objective name
- Owner
- Type
- Choose parent objective (if you need to build a relationship)
- Add Key Results (what needs to be done to achieve the objective)
- Add a period of time when the objective need to be closed


IMPORTANT! The objective can have just ONE owner, so just one employee should be responsible for closing it. If you want to create an Objective for a group of people, create one main Objective and add child Objectives for the rest of the team members.

This is how the Objective page looks like from the Employee Profile. He/she will see all key results and also can manage them and make progress. Also, it's possible to apply the status on each Key Result and the worst status of Key Result will be applied on the whole Objective Status.


It's also the ability for employees to close the Objective when it's done and access its result.




It is also very important to track employees changing the progress of Objectives in time and to make sure all the information is up-to-date. That is why it is an option to set up a Check-In frequency in General Settings.


KPIs


​On the KPI tab, you will be able to see all the KPIs across your organization which can be filtered by Type and Owner.

To create a KPI you need to add a Name, Type, Unit and Owner.


To set up numbers for each month, you need to open the created KPI and add the needed value for each month.


To update your monthly reached target, you can press the "Update Progress" button, fill out your result, and indicate the date.


IMPORTANT! You can update the result just till the current period NOT for the future.

KPIs will also be available in Employee Profile in Performance tab and can be added there too.
