Audit trail report

View audit of actions across your employee records

An Audit trail report helps you track actions performed in employee records, including when the change happened, who performed it, and whose data was affected.


You can access the report in the Reports → Audit trail tab.

Getting started with filters

Use filters to quickly narrow down the audit trail to the actions you want to review. Use Add filter to filter the list by:

  • Performed by - the user who made the change

  • Event - the type of action that happened

  • Affected person - the employee whose record was impacted

Each filter includes a search field, so you can find the right person or event without scrolling through long lists.

To focus on a specific time period, use the date picker (calendar icon). You can select a custom date range or choose one of the presets, such as Last 12 months, Last 6 months, This year, or Last year.

The report updates instantly to show only the entries that match your filters and date range.

Understanding the report

To gain a better understanding of the actions performed within employee records, refer to the table below, which presents the following information:

  • Date - when the action happened (date and time).

  • Performed by - the user who performed the action.

  • Event - what happened (for example, a record was created or updated).

  • Affected person - the employee whose profile data was impacted.

Use pagination at the top-right of the table to move through the full list of results.

Report export

You can download the audit trail in a few clicks:

  1. Apply the filters and date range you need.

  2. Click Export to in the upper-right corner.

  3. Choose the format: Excel or CSV.

The export includes the same data you see on the page for the selected filters and time period. This makes it easy to share a filtered audit trail with auditors or internal stakeholders.

Configuring access rights to the Audit trail report

In PeopleForce, you can configure access to the Audit trail report. Follow these simple steps:

  1. Go to Roles & Permissions in the settings.

  2. Select the role you want to configure and click Edit.

  3. In the Company section, scroll down to the Reports section.

  4. Select the Audit trail option.

  5. Save the settings.

Once you have saved the settings, users with the corresponding role will have access to the Audit trail report.

📌 Note that you must have the appropriate administrator rights to be able to configure access rights.
