Celebrations report

See upcoming birthdays and work anniversaries, so no milestone goes unnoticed.

The Celebrations report lists employees' birthdays and work anniversaries for the period you choose. It's the easiest way to plan ahead and make sure every employee feels recognised on the days that matter to them.

What you can use it for

  • Never miss a milestone. Check the coming month every few weeks and prepare congratulations, cards or messages in advance.

  • Plan gifts and budget. See how many birthdays and anniversaries fall in a month or quarter, and order gifts or flowers on time.

  • Recognise loyalty. Spot big anniversaries, such as 5 or 10 years with the company, and plan something special for them.

  • Prepare announcements. Export the list and use it for a monthly "Celebrations" post in your newsletter or team chat.

  • Help managers. Filter by department or location so each manager sees who in their team is celebrating.

Before you begin

  • Check your access. Administrators can open every report. Other users need the Celebrations report on their role (see Give access to the report below).

  • Check employee data. Birthdays come from each employee's date of birth, and anniversaries from their hire date. Employees without these dates won't appear.

Open the report

Go to Reports → CoreHR → Celebrations.

By default, the report shows the current month.

What the report shows

Column

What it shows

Person

The employee, with their position and a link to their profile

Date

The date of the celebration in the selected period

Celebration

A label showing what's being celebrated: Birthday, or a work anniversary with the number of years, for example 5-year work anniversary

If an employee's birthday and work anniversary fall on the same day, both labels appear in the same row. Click Person or Date to sort by that column.

Find what you need

  • Choose a date range, up to one year, or pick one of the quick ranges.

  • Use search to find a specific employee.

  • Click Add filter to narrow the report:

    • Type, to see only birthdays or only work anniversaries. With nothing selected, the report shows both.

    • Employee details, such as Position, Department, Job level, Division, Location, Employment type, Seniority or Job profile.

Export the report

  1. Click Export to.

  2. In Format, choose Excel or CSV.

The file includes all rows matching your date range, filters and search.

Give access to the report

  1. Go to Settings → Roles and permissions.

  2. Open the role you want to change.

  3. In Company reports, select Celebrations in the CoreHR group.

  4. Click Save.

Everyone with this role can now open the report in Reports → CoreHR → Celebrations.

💡 Tip: Give managers access with a role limited to their own team, so they can see their team's celebrations without seeing everyone's birthdays across the company.
