The Assets register report lists every asset recorded on the Assets page, one row per asset, with where it's kept and who has it right now. It's useful for inventory checks, audits and tracking equipment across offices.
Before you begin
Asset management must be switched on. Go to Settings → General → Features → Asset management. When it's off, the report isn't available.
Check your access. Administrators can open every report. Other users need the Assets register report on their role (see Give access to the report below).
Assets must be added first. The report reads the same register as the Assets page. See Add and assign assets.
Open the report
Go to Reports → CoreHR → Assets register. Each row is one asset, sorted by name. Click a column heading to sort by it, and click again to reverse the order.
Click an asset's name to open it in focus mode.
What each column shows
Column | What it shows |
Name | The asset's name. Click it to open the asset |
Code | Your company's reference for the asset (called ID on the asset itself) |
Serial number | The serial number |
Category | The asset's category |
Price | The price, without the currency |
Warranty expires on | The warranty end date, if entered |
Location | The location recorded on the asset |
Division | The division recorded on the asset |
Currently assigned | The person who has the asset today, linked to their profile. A dash means nobody has it |
Search and filter
Use Search to find an asset by name, code or serial number.
Click Add filter to filter by Category, Employee, Location or Division. You can choose several values for each filter.
PeopleForce remembers your filters and sorting for your next visit (the search box is cleared each time).
Export the report
Click Export to.
In Format, choose Excel or CSV.
Click Export.
The file is prepared in the background, and you'll get a notification when it's ready. It includes all rows matching your filters and search.
Give access to the report
Go to Settings → Roles and permissions.
Open the role you want to change.
In Company reports, select Assets register in the CoreHR group.
Click Save.
Good to know
The report shows the register as it is today. There's no date range, so you can't see what the register looked like in the past. Deleted assets don't appear.
Currently assigned shows only today's holder. To see who had an asset before, open the asset and check its assignment history. An asset assigned with a future date shows a dash until that date.
The Employee filter only finds assets someone holds now, not ones they've returned.
Terminated employees stay in Currently assigned until their assets are marked as returned.
