Create and manage working patterns

Learn how to manage work pattern on the company level

A working pattern is the number of hours an employee is expected to work each day of the week. For example, a full-time employee could be expected to work 8 hours a day, Monday to Friday.

At the beginning of each new month, employees typically submit their timesheets, which detail their hours worked in the previous month. By default, an 8-hour work schedule is applied to each employee. However, for employees who work part-time or have a different work schedule, you can create a custom work schedule and assign it to the employee profile.

Create a work pattern

  1. From the left menu select Settings >HR> Work patterns.

  2. Click + Add work pattern.

  3. Enter a Name for the work pattern.

  4. Enter the number of hours an employee is expected to work each day of the week.

  5. Click Save.

Edit and delete a work pattern

From the left menu select Settings >HR> Work patterns. Click on the three-dot menu at the end of a row. To edit a work pattern, select Edit to open the Add work pattern popup, where you can edit the details.To remove a working pattern, select Delete and click Delete.

View company working patterns

Every working pattern is saved in the Work patterns, a table containing the details of each working pattern. By default, the table contains the following columns:

  • Work pattern name.

  • Total weekly (hrs): the total number of hours employees assigned this working pattern must work each week.

  • Employees: total number of employees assigned this as their working pattern.

Assign or add the work pattern to an employee

Assign different work patterns to different full-time employees. E.g., full-time employees from marketing staff work 9 hours a day from Monday to Friday, but full-time customer support staff work 8 hours a day from Sunday to Thursday.

To assign the newly created work pattern to an employee, go to their profile and navigate to the Job tab. From there, add the work pattern, enabling the employee to submit their timesheet based on the assigned schedule.

The work pattern becomes active based on the effective date specified in the employment status. Additionally, you can set the work pattern for future dates. By specifying a future date in the "Effective from" field, the work pattern will activate on the chosen date, and the expected working hours will be displayed accordingly.

Once a work pattern is assigned to an employee, the system will accrue expected and remaining hours based on it. Utilize the Autofill button to automatically populate worked hours and then submit the timesheets.

Edit work pattern in the employee profile

Edit an employee’s work pattern in their Employee profile > Job tab. In the Employment status widget, find the record you want to edit, click on the tree dots icon, and choose the Edit option from the menu.

Set up permissions to manage work patterns

In the Roles and permissions, you can give access to users to allow them to configure the Work pattern on the platform. This includes creating, editing, and deleting work patterns.

  1. From the left menu, select Settings → Roles and permissions.

  2. In the Roles & Permissions section, under Edit role/New role → Company → Settings select Work pattern.

  3. Click Save.
