Add candidate fields to a candidate profile

Create your own fields to collect the candidate information that matters for your hiring process.

Candidate fields let you store specific information on every candidate profile, so it's easy to find, filter and reuse instead of being buried in notes. Common examples:

  • Availability date

  • Preferred work location

  • Willingness to relocate

  • Certificates

  • Referred by

A new field appears on all candidate profiles straight away, including candidates added before you created it.

Before you begin

  • Check your access. Administrators can always manage candidate fields. Other users need a role with the Candidate fields setting (on the role's Company tab, under Settings).

  • Choose the field type carefully. The type can't be changed after saving, and it decides whether recruiters can filter candidates by this field.

Create a candidate field

  1. Go to Settings → Recruit → Candidate fields.

  2. Click Add.

  3. Enter a Name. This is the label recruiters see on the profile, so keep it short.

  4. Choose a Type (see the table below).

  5. For Single select or Multiple select, click Add option to add each answer.

  6. In Help, optionally explain what information belongs in the field.

  7. Select Sensitive if only some of your team should see this information. Only users with the Show candidate sensitive fields permission will see it.

  8. Click Save.

⚠️ New fields are added to the bottom of the list. Drag a field by the handle on the left to change its position. The order in the list is the order on every candidate profile.

Where candidate fields are used

Besides the candidate profile, a candidate field can be used:

  • As a filter on the candidates list (except Rich text and Employee reference).

  • In exports to Excel or CSV.

  • In offer templates, as a placeholder, for example to include salary expectations or an availability date.

  • On application forms, so candidates fill it in themselves when they apply. Add it to each vacancy's application form separately. Employee reference fields can't be added to forms.

  • In the employee profile after hiring, if an employee field is mapped to it. The value is copied once, when the candidate is hired.

Manage candidate fields

On the Candidate fields page, you can:

  • Turn a field on or off with the switch on the right.

  • Edit a field's name, help text and options. The type can't be changed.

  • Delete a field you no longer need.

Good to know:

  • Built-in fields are marked System. They can be reordered but not deleted, and some can't be switched off.

  • Empty fields are shown under More fields at the bottom of the candidate profile, so a profile may look shorter than your list of fields.
