You can quickly add or update multiple vacancies in PeopleForce by importing them from a spreadsheet. This feature helps you streamline recruitment setup, avoid manual data entry, and ensure all vacancy details are uploaded accurately and consistently. Before starting the import, prepare your file using the required template and fill it with all necessary vacancy information.
Prepare your file for upload
Before import, you must create a spreadsheet and fill it with the information required for uploading.
Download the template to your computer and use it as a reference. (This sample is for reference only.)
The import functionality supports two file types: .csv and .xlsx.
Fill in the template with the corresponding candidate's data:
ID - internal PeopleForce unique identifier of a vacancy
External ID - Identifier used in external systems (optional).
Pipeline name - The recruitment pipeline in which this vacancy will be processed (e.g., “Engineering Hiring Pipeline”).
Vacancy title (required) - official title of the position you are hiring for.
Job description (required) - a detailed description of the role, responsibilities, requirements, and expectations.
Department (required) - the department to which this position belongs (e.g., Sales, HR, Engineering).
Division - a broader organizational unit, if applicable (e.g., Operations, Corporate).
Location (required) - the primary work location for the vacancy, such as a city, office, or “Remote.”
Employment type (required) - type of cooperation: Full-time, Part-time, Contractor, Internship, etc.
Priority - importance of the vacancy (e.g., Low, Medium, High). Helps indicate urgency.
Position - the role of the employee in the company.
Date recruitment starts on - the date when the hiring process for this vacancy begins.
Number of positions - how many people you want to hire under this vacancy.
Salary min / Salary max - the salary range planned for the position.
Currency - the currency in which the salary range is indicated (USD, EUR, PLN, etc.).
Minimum job level - the lowest seniority level acceptable for the vacancy (e.g., Junior, Mid, Senior).
Tags - keywords that help categorize or filter the vacancy (e.g., “urgent,” “remote,” “Python”).
Skills - key skills expected from the ideal candidate.
Hiring lead ID or email (required) - the PeopleForce ID or email of the person responsible for hiring process for this vacancy.
Importing data into the system
Go to Settings > Import.
Select Vacancies from the list.
Upload the previously created file to the system, and click the "Next" button.
Once the spreadsheet is uploaded, you can verify if all fields were imported properly. If some fields were not mapped automatically, then you can map the required fields manually. Click Next when all is done.
Click Import to finish the process.
The system supports automatic validation of imported data. If the imported data has an incorrect format, it will be colored red. In this case, you have to edit the file and replace the invalid data with the correct one, and re-upload the file.
