A talent pool is a named list of candidates you want to keep in touch with outside any single vacancy. It could be strong runners-up from previous hiring rounds, everyone with a specific skill, or people who asked to hear about future openings.
A talent pool gives you the whole group in one place. From there, you can email the candidates, add them to a new vacancy in bulk, or keep them in the pool until the right opportunity comes up.
If you don't see Talent pools under Recruitment in your sidebar, contact us at support@peopleforce.io to request access.
Create a pool
Go to Recruitment → Talent pools and select New talent pool.
Enter a Name.
Optionally add a Description. It appears under the pool's name when someone opens it, so it's a good place to note who belongs in the pool, for example, "Senior backend developers who reached the final interview".
Select Save.
Add candidates to a pool
A candidate can be in any number of pools, but only once in each. Adding someone to a pool doesn't change their status, stage, or who can see them.
From candidate profile
This is useful when a recruiter decides during the hiring process that a strong candidate isn't right for the current vacancy but is worth keeping for later.
Open the candidate and select Actions → Add to talent pool.
In the Talent pool field, pick a pool and select Add. Only active pools the candidate isn't already in are offered.
From the Candidates list
On Recruitment → Candidates, filter and select the candidates you want.
In the bulk bar, open the ⋯ menu and choose Add to talent pool.
Pick one or more pools in Talent pools and select Save.
Work with a pool
Open a pool from the list to see its members. The page shows Name, Position, Email, Location, Source, Tags, Last contacted and Added to pool (the date that person joined this pool).
Search, filters and sorting work the same as on the Candidates page, limited to this pool. You can filter by position, location, tags, skills, source, recruiter, pipeline stage and more, depending on which candidate fields your account uses.
Select candidates, or use a row's ⋯ menu, to:
Add to vacancy: choose a published vacancy and select Add to vacancy.
Candidates are added to the vacancy's first stage.
They stay in the pool, so it keeps its full picture.
Anyone already on that vacancy is skipped, and you'll see a message saying how many.
Automations on the first stage will run, for example an automatic email.
Send email: optionally start from a Template, then fill in Subject and Message, and add Attachments if needed.
Each candidate gets their own email, sent from you.
Candidates without an email address are skipped.
Remove from pool: confirm with Remove. The candidates themselves aren't affected.
Example: reopening a role. You kept last spring's finalists for a Product Designer vacancy in a pool called Product Design – finalists. When a new Product Designer vacancy opens:
Open the pool and filter it by location.
Select everyone and email them about the new opening.
Once they reply, select the people who are interested and use Add to vacancy to move them into the new pipeline.
See a candidate's pools
On a candidate's profile, the Talent pools section sits between Vacancies and Notes. It lists every pool they're in, archived pools included.
Select a pool name to open it in a new tab.
Select × next to a pool to remove the candidate from it.
Edit, archive and delete pools
Edit: use the ⋯ menu on the pool's row to change its name or description.
Archive: moves the pool to the Archived tab.
All members stay, and the pool still shows on their profiles.
You can't add anyone to an archived pool.
Restore: brings it back.
Delete: only possible for archived pools, and it can't be undone.
No candidates are deleted.
The pool disappears from their profiles, and its name can be used again.
