Pipeline funnel report

Learn how to use the report and structure information according to various criteria

The Pipeline funnel report helps you analyze how candidates move through a selected recruitment pipeline across vacancies that use a specific pipeline. It gives you a high-level view of pipeline performance, shows where candidates drop off, and helps you understand the most common disqualification reasons.

The report includes:

  1. Recruitment funnel

  2. Rejection distribution

  3. Candidate table

If a candidate is deleted, or if a vacancy is deleted or archived, that data is removed from the report.

Access report and use filters

To open the report, go to Reports > Pipeline funnel.

At the top of the page, select the pipeline you want to analyze. After that, use filters to narrow down the data.

You can filter the report by:

  • Candidate applied on - filters candidates by the date when they were added to the vacancy;

  • Vacancy - filters results by one or more vacancies;

  • Department - filters by department;

  • Division - filters by division;

  • Recruiter - filters by the recruiter assigned to the vacancy;

  • Added by - filters by the person who added the candidate (for example, a recruiter or hiring manager who created the candidate);

  • Disqualified reason - filters by a specific disqualification reason.

The Candidate applied on filter works by the date when the candidate was added to the vacancy. It does not use the date when the candidate was moved to another stage, disqualified, or hired. This means the report first selects candidates by their application date, and only then builds funnel statistics for those candidates. For example, if a candidate applied in January and moved to Offer in March, they will appear in the report only if the selected date range includes their January application date.

Because of this, it is usually best to select a date range starting from the period when candidates began applying to vacancies in that pipeline.

Recruitment funnel

The Recruitment funnel shows how candidates progress through the selected pipeline. It focuses on gathering data on all vacancies with the same pipeline.

Each stage displays:

  • the number of candidates counted at that stage

  • the percentage compared with the first stage of the funnel

This lets you see how many candidates entered the pipeline and how many reached each next step.

How stage counts are calculated

A candidate is counted in a stage once they reach it. If the candidate later moves back to a previous stage, they are not counted again. In other words, returning a candidate to an earlier stage does not duplicate them in the funnel.

If a candidate is moved directly from one stage to a later stage, all skipped stages between those two stages are still included in the statistics. For example, if a candidate is moved directly from Applied to Offer, that candidate will also be counted in all stages between Applied and Offer.

This keeps the funnel consistent and reflects the candidate’s progress through the pipeline even when some stages were skipped manually.

How percentages are calculated

The percentage shown for each stage is calculated against the first stage of the funnel, not the previous stage.

🧮 Formula:

Stage percentage = Number of candidates in the stage / Number of candidates in the first stage × 100

Example:

  • Applied - 16 candidates = 100%

  • Interviewing - 10 candidates = 62.5%

  • Offer - 4 candidates = 25%

  • Hired - 1 candidate = 6.3%

This means that 6.3% of all candidates who entered the pipeline reached the Hired stage.

Rejection distribution

The Rejection distribution chart shows how disqualification reasons are distributed for candidates in the selected pipeline.

It helps you see the most common reasons why candidates are rejected.

How rejection distribution is calculated

The chart is built from disqualified candidates included in the filtered report data. Each segment shows the share of one disqualification reason out of all disqualified candidates in the report.

🧮 Formula:

Reason percentage = Number of candidates with this disqualification reason / Total number of disqualified candidates × 100

Example:

  • Didn’t accept offer - 2 candidates

  • High salary expectations - 1 candidate

Total disqualified candidates: 3

So the chart will show:

  • Didn’t accept offer - 66.67%

  • High salary expectations - 33.33%

This chart uses the same date logic as the funnel. The Candidate applied on filter is based on the date when the candidate was added to the vacancy, not the date when they were disqualified. So if a candidate was rejected today but applied outside the selected date range, they will not appear in the chart.

Candidate table

Below the charts, the report shows a table with candidate details included in the selected report data.

Depending on the available data, the table can include:

  • Applied on

  • Full name

  • Vacancy

  • Recruiter

  • Added by

  • Email

  • Phone

  • Desired salary

  • Status

  • Disqualified reason

Use this table when you want to review the exact candidates behind the funnel and rejection statistics.

Export the report

All reports can be exported to .xlsx or .csv by clicking the three-dot menu in the upper-right corner of the page.

Set up access rights

Access to the Pipeline funnel report is controlled by role permissions. This step is needed to make the report available only to users who should be able to view company recruitment analytics.

📌 Note that you must have the appropriate administrator rights to be able to configure access rights.

To grant users access to the Pipeline funnel report:

  1. Go to SettingsRoles and permissions.

  2. Open the needed role and click Edit.

  3. Scroll to the Reports section.

  4. Enable the Pipeline funnel in the Company reports field.

  5. Save the changes.

After that, users with this role will be able to open the report.

FAQ

What is the difference between the Pipeline funnel and the Vacancy funnel?


Both reports show a recruitment funnel, but they focus on different levels of analysis.

The Pipeline funnel report combines data from vacancies that use the selected pipeline, so it is useful when you want to evaluate the overall performance of that pipeline.

The Vacancy funnel report focuses on one vacancy only, which makes it better for reviewing the results of a specific role in more detail.

Does the Recruitment funnel include disqualified candidates?

Yes. Disqualified candidates are included in the funnel statistics up to the stage they reached before being disqualified.
