The Time in stage report helps you:
understand how much time candidates spend at each stage;
identify the longest stages and stages that exceed their configured time limits;
compare pipeline performance across different periods;
review results by pipeline, vacancy, and candidate;
identify parts of the recruitment process that may require changes.
Access the report and use filters
To open the report:
Go to Reports.
Select Time in stage.
Use the date selector at the top of the report to choose the period you want to analyze. You can select one of the predefined periods or to define your own date range. Click the reset icon to return to the default date range.
This allows you to compare the same pipeline across different periods. For example, you can compare the average stage duration for the last quarter with the current quarter to determine whether candidates are moving through the pipeline more quickly.
Click Add filter to narrow down the data displayed in the report.
How the reporting period is applied
A stage duration is included in the period in which the candidate left that stage.
The report includes the full stage duration, even when the candidate entered the stage before the beginning of the selected period.
For example, when May is selected:
the candidate entered the stage on April 28;
the candidate left the stage on May 3;
the complete five-day duration is included in the May report.
A stage that has not yet been completed is not assigned to a reporting period until the candidate leaves it.
If a candidate enters and leaves the same stage more than once, each completed occurrence is calculated separately. Each duration is assigned to the period in which that particular occurrence ended.
Understand the report overview
The report overview displays recruitment pipeline data in a chart and a table.
Chart
Each horizontal bar represents a recruitment pipeline and is divided into its pipeline stages.
The chart legend identifies:
Stage avg: the average duration of a regular pipeline stage;
Longest stage: the stage with the highest average duration;
Over time limit: a stage whose average duration exceeds the configured time limit.
The longest stage is highlighted in pink. A warning icon appears when the average duration exceeds the time limit configured for the stage.
Hover over a stage in the chart to view:
the stage name;
its average duration;
its configured time limit, when applicable.

Table
The table below the chart provides the following information for each pipeline:
Pipeline: the recruitment pipeline included in the report.
Vacancies: the number of vacancies using the pipeline.
Candidates: the number of candidates included in the report.
Avg. time per stage: the average duration of the completed stage occurrences included in the selected period.
Longest-duration stage: the pipeline stage with the highest average duration.
Avg. time in longest stage: the average duration of the stage identified as the longest.
Avg. total (sum of stages): the average total duration calculated from the included pipeline stages.
Disqualified: the number of disqualified candidates included in the report.
Hires: the number of hired candidates included in the report.
Sort the report
Click View settings to change the order in which pipelines are displayed.
You can sort the report in ascending or descending order by:
Avg. time in longest stage;
Avg. time per stage.
View pipeline details
To investigate a pipeline, hover over its row and click Open.
The pipeline details open in an overlay. The header shows the pipeline name and the number of vacancies using it.
The chart displays the average duration of the stages configured in the selected pipeline.
Use the display controls in the upper-right corner of the chart to switch between:
the pipeline summary view;
the view showing individual pipeline stages separately.
The table below the chart includes:
Vacancy: the vacancy using the selected pipeline.
Hiring lead: the employee responsible for the vacancy.
Status: the current vacancy status.
Candidates: the number of candidates included for the vacancy.
Pipeline stage columns: the average time candidates spent in each stage.
Total avg. time: the average total time candidates spent across the included stages.
The stage columns depend on the stages configured in the selected pipeline. Therefore, different pipelines may display different columns.
A warning icon next to a stage value indicates that its average duration exceeds the configured stage time limit.
View candidate details
To review the results for an individual vacancy, hover over the vacancy row and click Open.
The candidate-level view displays the selected pipeline and vacancy at the top of the page.
The table includes:
Candidate: the candidate included in the report.
Recruiter: the recruiter responsible for the candidate.
Vacancy: the vacancy associated with the candidate.
Application date: the date on which the candidate applied for the vacancy.
Pipeline stage columns: the time the candidate spent in each stage.
Total days: the candidate’s total duration across the included stages.
Status: the candidate’s current recruitment status.
The stage columns correspond to the stages configured in the vacancy’s pipeline.
A warning icon identifies a stage duration that exceeded its configured time limit.
Use the candidate-level data to investigate individual journeys that may have affected the vacancy or pipeline averages.
Export the report
To download the report:
Click Export to.
Select Export to Excel.
The exported file reflects the selected reporting period and applied filters.
