Set up a company engagement survey from scratch

Learn how to create and launch a survey

Engagement surveys allow to efficiently collect honest feedback, opinions and responses from employees and use that information to improve operations, reduce employee turnover and improve communication between managers and employees.

  • Employees can complete the survey anonymously, guaranteeing the results' completeness and objectivity.

  • You can create a survey from scratch or use numerous templates covering various topics, such as well-being, engagement, employee satisfaction, team productivity, and more.

  • You can quickly survey your team with 4-5 questions, launching the survey in minutes.

Configure permissions to manage surveys

If you are not the administrator of the system, you need specific permission to manage surveys. An administrator can grant this permission by completing the following steps:

  1. Open the Roles & permissions section.

  2. Select the role required permission to create and launch surveys.

  3. Navigate to Edit role (or create a new one) > Company > Pulse.

  4. Tick the Manage surveys box to enable survey management permissions.

Prepare for survey launch

Before creating a survey, configure the elements that will help you structure questions consistently and analyse the results more effectively.

You can prepare:

  • Segments to compare survey results across specific employee categories;

  • Scales to standardise response options and make answers easier to compare;

  • Drivers to group related questions and identify the factors that influence employee engagement.

Preparing these settings in advance helps keep survey configuration consistent, simplifies result analysis, and makes it easier to compare responses across different employee groups and survey cycles.

Set up a survey from scratch

  1. From the left menu, select Surveys > Engagement.

  2. If you’d like to set up a new survey:

  • Click + Create survey and select Create from scratch.

  • You can also select an existing survey and copy it from the three-dot menu by selecting the Make a copy option.

  • If you want to continue editing a draft survey, click on this survey.

3. In the pop-up window :

  • Enter a survey name that describes the survey goal.

  • Tick the Anonymous survey checkbox if you want the answers to be anonymous.

4. In the Details tab, you can change previously entered data and fill in the following parameters:

  • Allow back navigation for participants to revisit and modify their answers.

  • Set up the email template for the survey invitation.

  • The minimum number of responses must be collected (in an anonymous survey) to appear in the Comments tab for you to see and analyze them (recommended default: 5).

  • Create a compelling survey introduction message.

5. Create different sections to group and organize your questions.

6. Add questions to each section. Customize answer scales, enable comments if required, and select evaluation drivers (only one driver can be applied to one question). You can also mark comments as mandatory.

The platform provides you 5 question types:

  • Rating: Answer options in a range from 1-5.

  • Single Select: Choose one option.

  • Multiple Choice: Choose several answers.

  • Text: Written response in a text box.

  • Net Promoter Score: Scale from 0 to 10.

7. In the Participants tab, choose participants using conditions. By default, all employees are included as participants. You can filter employees by various parameters to ensure maximum flexibility. When adding multiple conditions, you can choose the 'Operator and' option to narrow the selection, as all your conditions must work together. Otherwise, select the 'Or' option to select employees to whom either one condition or the other applies.

8. In the Launch tab, specify start and end dates and times.

9. Optimize response rates by adding reminders, especially in the middle and closer to the end.

🪄 To increase participation, include survey objectives, remind participants of the survey anonymity, and let participants know how long it will take to complete the survey.

10. Click Save if you’d like to finish setting up the survey later, or click Save and publish if you’re done setting up the survey.

Receive notifications

All participants receive invitation emails with survey links or notifications in the system.

Complete the survey

  • You can complete the survey from the Inbox tab.

  • Also, the task of completing a survey is displayed in the Needs your action section on the Home page.

Access company surveys

To access all engagement surveys in the company, open Surveys from the left menu and go to Engagement surveys. At the top of the page, surveys are organized into tabs, and you can further narrow the list using Add filter:

  • Running: shows surveys that are currently in progress.

  • Scheduled: shows surveys planned to start in the future. Each survey card displays key details (for example, the number of questions, participants, and the planned date range). If you need to start a scheduled survey earlier, open the survey’s menu and click Launch. After confirmation, it starts immediately and moves to the Running tab.

  • Draft: shows surveys that haven’t been launched yet.

  • All: shows surveys across all statuses. Use Add filter to display specific statuses such as Finished or Archived.

To view the survey details and results, you must click its name.

Add participants to a running survey

You can add employees to a survey after it has already started. To do it:

  1. Open the running survey.

  2. Go to the Participants tab.

  3. Click Add participants.

  4. Define the additional participants.

  5. Confirm your selection.

The added employees receive the survey invitation and appear in the participant list.

Nudge participants

While a survey is running, you can remind participants to complete it from the Participants tab.

For anonymous surveys, use Nudge all to send a reminder to participants who have not completed the survey without revealing their identity.

For non-anonymous surveys, you can also send a reminder to a specific participant. Click the three-dot menu next to their name and select Send nudge.

💡 Individual reminders are available for non-anonymous surveys only.

Deal with the survey result

All information on how to work with results can be found on the View and Analyze survey result page.

Export results

To download all survey results, go to the required survey and click on the three dots in the upper-right corner. Choose the preferred format: PDF, Excel, or CSV. After selecting the format, the file will be automatically downloaded to your computer.

We have a separate Export button on each page to download data only from this page. For example, you need to download only comments.

You can also use filters and export only filtered results. For example, you want to download a score grid for the Marketing department.
