A ''Headcount report'' is an important document that allows assessing the dynamics of changes in the number of employees in a company.

Getting started with filters

The headcount report includes filters by date range, position, department, division, location, and employment type. By using these filters, you can customize your search and obtain specific information that interests you.

For example, you can select a specific period, such as the last quarter, and track the number of employees during this period for a particular department, such as marketing. This allows understanding how the number of employees in the department has changed during this period and making appropriate conclusions regarding the company's development.

Analyze the report results

Information about the number of employees on this page is presented in the form of a chart, where you can track the crossing of such metrics as the total number of employees and their statuses: new employees or terminated.

Calculating the number of employees in the next month

In order to determine the number of employees in the next month, you need to make the following calculation:

Next months headcount = the number of active employees from the previous month - number of employees who leave the company in that month + number of new employees who start working in the next month. Thus, we can get the projected number of employees in the next month.

Here is an example to better understand how the number of active employees in the company for the next month is calculated. Let's say that in February, the company had 11 active employees. In February, 1 employee resigned, and 2 new employees joined the company in March. To calculate the number of active employees in March, use the formula:

Next month headcount = 11 active employees in February - 1 employee resigned in February + 2 new employees in March. So, we get: 11 - 1 + 2 = 12 active employees in March.

This line chart shows the number of employees by division and location. The chart allows you to compare the number of employees in different divisions and locations.

This page displays the list of employees by default, where each record contains information about the date of hiring and termination (if the employee was terminated), position, department, division and location.

Key indicators of personnel dynamics in the company

"Average turnover" and "average growth" are indicators that reflect the dynamics of personnel in a company.

Average turnover is the average percentage of employees who leave the company over a certain period of time (for example, a month or a year). It is calculated as the ratio of the number of terminated employees to the average number of employees for the period, expressed as a percentage. This indicator allows you to assess the stability and engagement of employees in the company.

Average growth is the average percentage of new employees hired in a company over a certain period of time. It is calculated as the ratio of the total number of new employees to the number of months in the period. This indicator allows you to evaluate the effectiveness of the process of recruiting new employees in the company.

Sorting options in the Headcount report

In the Headcount report, you can sort the data to view, for example, employees by the start date or the last date of employment. Here's how to do it:

Also, on the page with the list of employees, you can filter the table by the status of employees: new hires or terminated.

Or you can search by the employee's first or last name in the search field.

The headcount report can be exported in XLSX or CSV format by clicking on the three dots in the upper right corner.

Setting up access rights to the "Headcount" report in PeopleForce

In PeopleForce, you can customize access rights to the Headcount report. Follow these simple steps:

  1. Go to the Roles and permissions section in the settings.

  2. Select the role you want to customize and click Edit.

  3. In the role editing window, scroll down to the Reports section.

  4. Select "Headcount" in the "Company reports" field.

  5. Save the settings.

After saving the settings, users with the corresponding role will have access to the "Headcount" report.

📌Note that you must have the appropriate administrator rights to be able to configure access rights.
