Learn how to use Safe Speak as an anonymous reporting channel for the employees

PeopleForce offers a secure and anonymous reporting feature called "Safe Speak" for all users. With Safe Speak, users can:

  • Submit reports of work-based misconduct anonymously while maintaining complete control over the information they provide.

  • Feel empowered to express their concerns, fostering a company culture where everyone can safely voice their opinions without the fear of reprisal.

  • Stay informed about the cases they've reported and communicate with the case manager without revealing their identity.

This article offers guidance on how to report instances of misconduct and how to effectively follow up on a case. Keep reading to understand the reporting process and discover how to stay updated on your case.

⚠️ The system ensures complete anonymity for reporters, as it is technically impossible to track their identity. The anonymous submission page operates through an external URL, and reporters are not logged into PeopleForce.

Submit an anonymous report

You can submit an anonymous report using several methods within the system:

  • Navigate to the "Me" section, then select "Cases," and choose "Create an anonymous case."

  • A link to the report can be added to the company's homepage for easy access.

  • You can also access the reporting form via a link provided in the Knowledge Base, which can be shared with all employees.

To submit an anonymous report, follow the steps below:

  1. Go to the reporting form link and click Report a new case.

  2. Select a Category that best describes your report.

  3. Enter a Subject, provide a Description of your experience.

  4. Optionally, upload any files that provide context to your description, then click Next.

  5. Review the case details and click Submit.

⚠️ Be sure to save the unique password provided on the submission confirmation page. You'll need it any time you want to access your case for responses or updates in the future.

Save your password

You won't receive any emails or notifications about responses or updates to your case, so saving your password is essential. You can follow up on your case by going to the start page and entering your unique case password. PDF version of the confirmation form will be automatically downloaded on your computer.

⚠️ There will also be an unique QR code you can scan to access the case on your mobile phone. When scanning the code you will access your case directly, without the necessity to enter the passcode.

⚠️ Reporters do not receive notifications about updates. They must follow up on their case through the reporting form link.


Access an anonymous case

To access a case you've submitted, follow these steps:

  1. Locate the unique case password provided when you submitted the case.

  2. Go to the reporting form link and click "Follow up on a case."

  3. Enter your unique case password and click "Lookup."

This opens your case log, displaying your original submission and any responses from the case manager.


​Respond to a case manager or add additional information

To respond to a case manager or add additional information, follow the steps below:

  1. Locate the unique case password provided to you when you submitted the case.

  2. Go to the reporting form link and click Follow up on a case.

  3. Enter your unique case password > Lookup a case with passcode.

  4. Read and respond to any messages from the case manager by entering an anonymous message in the text box.

  5. To attach a file, click the Upload file icon and select the document(s).

  6. Click Comment to send.

The response appears in the messaging history, along with any attachments. You can access the case and all its content, including messages and attachments, until it is deleted by a case manager.
