Overtime tracking lets you record overtime as a separate type of time entry, instead of mixing it into regular working hours. When overtime tracking is enabled for an Attendance policy, employees submit overtime as an overtime request (with a required comment explaining the reason), approvers review it, and managers can track overtime requests in a dedicated view and export them.
This flow makes overtime easier to control and audit, and it keeps overtime data clean.
Enable overtime tracking and approvers for an Attendance policy
To turn on overtime tracking, you first need to enable it for an Attendance policy. Think of the policy for which you want to use overtime, for example, your Default policy, or a separate policy you apply to specific teams/projects where overtime should be allowed.
To configure it:
Go to Settings > Attendance policies.
Do one of the following:
Open an existing policy you want to update (for example, Default), or
Create a new policy, for example, Overtime-enabled policy. Detailed guide here.
In Overtime section, enable Enable overtime tracking.
Click Next.
Configure overtime approvals
After overtime is enabled, overtime is handled through requests and overtime approvals become mandatory by default. In this step, you only define who approves overtime requests (e.g., employee manager), and you can add additional approvers if your process requires them. To do it, complete the following steps:
In the same policy setup, open the Approvals section.
In Overtime approvals, select the approver (for example, Manager):
Manager: The employee’s direct supervisor to whom they report within the organizational structure.
Manager's manager: The indirect manager with greater influence or responsibility than the direct supervisor.
Specific person: You can select any individual from the drop-down menu.
Team lead(s): The manager responsible for overseeing the employee's team.
3rd level manager: The individual designated as the third-level manager in the organizational hierarchy.
Person reference: An individual linked to the employee's profile through a custom field.
Department's manager: The manager responsible for the employee's department.
Add additional approvers if needed using + Add approver.
Configure additional options shown on the page:
Skip unassigned approvals to automatically bypass them to streamline the process.
Enable substitutions for approvers on non-working leave to automatically forward approval requests to a substitute if the assigned approver is unavailable.
Click Next.
Overtime tracking will work only for employees' locations assigned to the Attendance policy. So, open the People section and make sure all required locations are selected.
Save the policy.
Review and approve overtime requests
When you are added as an approver (but don't have access to the Attendance > Company tab), you will see overtime requests as tasks and open the request page to review and approve them. They need to do the following steps:
Open the request from one of these places:
On the Overtime request page, review the details:
Date, Time, and the employee’s Comment (why overtime is needed)
The requester's information (who submitted it)
Leave a comment in the Comments field clarifying some details.
If they want, they can enable Notify all approvers to ensure everyone involved in the request is notified.
Click Approve or Reject.
Manage overtime requests within the company (Company view)
If you have the Access attendance data across the company permission, you can manage overtime requests from the company level. In Attendance > Company > Overtime, you can view a list of overtime requests within the company, with key details such as employee name, date, requested time range, overtime duration, and status (Approved/Rejected/Pending). If you need to see the full context of any request, just click the request row to open its details (including the comment and approval information).
From here, you can narrow the list in two ways: use Search by name at the top, or open Filter to apply more precise criteria. The available filters include Project, Employee name, Position, Department, Division, Location, Status, and Employment type.
If you need to share the data outside PeopleForce, use the Export button in the top-right corner of the Overtime view. It downloads the overtime requests list using the same filters you applied, so you can export exactly the subset you need.
