Discuss a vacancy with your team

Learn how to use vacancy notes to share updates, mention colleagues and keep the hiring team on the same page

Use the Notes tab in a vacancy to discuss the vacancy with everyone involved in hiring. Share updates on the search, agree on next steps, leave feedback on the hiring process or attach files the team needs - all in one place next to the vacancy.

💡 The Notes tab replaces the previous Discussion tab. Your existing discussion messages are kept and shown as notes.

To open it, go to Recruitment → Vacancies, open a vacancy and select the Notes tab. The number next to the tab name shows how many notes the vacancy has.

Add a note

  1. Open the vacancy and go to the Notes tab.

  2. Click Add note.

  3. Write your message. To open the formatting menu, type + or /. You can add headings, lists, tables and links, insert images and emoji, and attach files.

  4. To bring someone into the discussion, type @ in the note and select a colleague from the list. They'll get a notification with a link to the vacancy's Notes tab.

    💡 Keep in mind:

    • Only people who have access to the vacancy are notified when you mention them.

    • A note without a mention doesn't send any notifications, not even to the hiring lead or team members. Mention people when you need their attention.

  5. Click Add note to post it.

Notes are shown as cards, with the newest at the top. Each card shows who wrote the note and when. Hover over the time to see the exact date.

Edit or delete a note

The author of a note and admins can change or remove it. Click ⋯ on the note and select:

  • Edit to change the text, then click Save.

  • Delete to remove the note. The note is removed for everyone on the vacancy, and this can't be undone.

Who can see and add notes

Everyone who has access to the vacancy can read and add notes. This includes admins, the vacancy's hiring lead and team members, and people whose role allows them to see all vacancies. Learn more in Vacancy roles and permissions.

External recruiters don't see the Notes tab. Notes are never shown to candidates or on the career site.

Important notes

  • All notes are visible to everyone who has access to the vacancy. There are no private notes, so avoid sharing information that only some team members should see.

  • You can't add videos to notes. Older discussion messages that contain videos or embedded media are still shown, but they can't be edited.

  • If the author of a note is no longer in the company, the note is shown as written by a former employee.
