This release brings people closer together and makes getting started in PeopleForce easier. Colleagues can now chat with each other directly in PeopleForce, and new users and account owners set up their accounts in a short welcome wizard. Legal entities get their own settings page and an eSignature stamp for PeopleSign, and recruiters can add up to 25 candidates from CVs at once. Many pages also open faster and have a refreshed design. You'll also find improvements across Core HR, Recruit, Kadry, Payroll, Perform, Time and the API.
💬 Chat with colleagues in PeopleForce
Reach every employee in seconds, even those who don't have a work email. Colleagues can now message each other directly in PeopleForce, one-to-one or in groups, on the web and in the mobile app. It's ideal for frontline and shift teams: a shift change, a reminder to sign a document or a quick question arrives as a push notification on their phone. No more chasing people through personal messengers – all work conversations stay in one place.
In a chat, you can:
Format text, add links and emoji, and @mention colleagues.
Share files, photos and videos.
See whether your message was sent, delivered and read, so you know who has seen an update.
Reply to, pin and mute chats in the mobile app, so important messages are easy to find and notifications never get overwhelming.
Workflows also have a new Send a chat message action, so welcome messages, reminders and next steps reach employees automatically, right where they already are. People can only start chats with colleagues they're allowed to see, so you stay in control of who talks to whom.
To turn chat on, go to Settings → Features. Chat is on by default for new companies and off for existing companies until an admin turns it on. More details here.

👋 Set up your account in the new welcome wizard
Welcome emails no longer contain a password or a reset link that may expire before people open them, so there are fewer "I can't log in" questions for HR and IT. Instead, they include a Set up your account link that opens a short welcome wizard.
In the wizard, new employees:
Choose their password.
Set their time zone and language.
Set up two-factor authentication, if your company requires it. If your company uses single sign-on, the password step is skipped.
Account owners also go through a few extra steps. They can add the company logo and brand colour, set the company's default time zone, language, name and date format, and invite other administrators. In a few minutes, PeopleForce looks like your company, and colleagues can help set it up from the start.
Both welcome emails have a new, friendlier design as well, and at the end of the wizard employees are invited to download the mobile app, so they can use PeopleForce wherever they are.
🏢 Manage legal entities and sign documents on their behalf
If your company works through several legal entities, you can now keep all their details in one place and sign documents on the company's behalf without printing, stamping or scanning anything.
Manage legal entities in Settings → Legal entities. You can search for legal entities, filter them by country, and see the default entity and how many people belong to each one.
For each legal entity, you can add:
A registration number. The field depends on the entity's country.
A company representative and authorised signatories.
What the entity's eSignature stamp shows.
When you distribute documents with the PeopleSign Simple signature, you can now select Include legal entity signature and choose a signatory. The signatory signs last, on behalf of the legal entity. The signed PDF gets a stamp and an audit trail, and the signing request email names the legal entity as the requester. Contracts and orders are fully signed by both sides in PeopleForce, and you always know who signed and when.
We've also added a Legal entity permission. In Settings → Security → Roles & permissions → People → Job, choose None, View or Edit to control who can see a person's legal entity on the Job tab and who can change it. The permission also controls whether the {{employee.legal_entity}} placeholder is filled in generated documents. This way, sensitive company structure stays visible only to the people who need it. Existing roles keep their current access until an admin changes it. More details here.

📂 Add up to 25 candidates from CVs at once
Turn a folder of CVs into candidate profiles in minutes instead of hours. You can now upload up to 25 resumes at once, and the system reads each file and fills in the candidate's profile. In the Add candidate menu, Upload resume is now called Upload resumes. It's available on the Candidates page, in a vacancy and in a talent pool.
The upload takes three steps:
Upload – add up to 25 CVs.
Review – check the name, email and phone taken from each CV and correct them in a table. Possible duplicates are flagged and linked to the existing candidate profile.
Assign – choose a source, tags, vacancy, stage and talent pool for the whole batch.
Candidates who already exist in PeopleForce are added to the vacancy without creating a second profile. If some CVs fail to upload, you can try again. Your candidate base stays clean, and recruiters spend their time talking to candidates rather than typing in their details. More details here.
🛠️ Other updates
In addition to the major enhancements, we've also rolled out several other updates to improve your overall experience with PeopleForce. Here's a quick overview of these:
Core HR
Core HR
See invitation status on the profile. The person profile now shows where an invitation stands: Not invited, Invitation not opened (with the date it was sent) or Invitation opened. You can spot at a glance who hasn't joined yet and resend the invitation before their first day. Send welcome letter is now called Invite person, and it asks for confirmation and shows the email address the invitation goes to.
Clearer sign-in verification email. The verification code email has a new layout with a larger code. Gmail and Apple Mail can now offer to copy or fill in the code for you, so signing in from a new device takes just a tap.
Filter the org chart by department and division. The org chart now has Department and Division filters. You can choose a department or a sub-department, and your filters are saved for next time. Even in a large company, you can quickly focus on the team you need.
Optional tables and effective dates in change requests. On people data change and self-service request forms, you can now make tables such as Position, Salary, Job profile, Additional compensation and custom tables required or optional. Historical fields now have their own effective date, so changes can be scheduled for the right day. A table the requester doesn't change no longer creates a duplicate record on approval. For example, a manager can give a raise after a review without resubmitting an unchanged position – and employee profiles stay clean.
Block past dates in change requests. Position, Salary, Additional compensation and Job profile tables in employee change request forms now have an Allow past dates checkbox, selected by default. Clear it, and requesters can't choose a date before today. This prevents changes, such as a salary increase, from being backdated after payroll has already been processed.
Add collaborators to requests automatically. Form templates with an Approvals step now have a Collaborators section on the Approvals tab. Add rules such as direct manager, team lead, department manager, a reference or custom field, or a specific person. When someone submits a request, these people are added as collaborators and get an email. For example, HR can follow every termination request, or finance can see every salary change, without anyone having to remember to add them.
New Collaborating tab in requests. Requests → My now has a Collaborating tab with every request and overtime request where you're a collaborator, whether you were added directly or @mentioned in a comment. No more digging through email notifications to find a request you need to follow. Request pages also have a new Add collaborator button, so you can loop in the right people in one click.
Custom task titles in workflows. Request a form steps and document steps with eSignature now include optional Task title and Task description fields that support placeholders. Write a friendly, clear task like "Hi, Anna, please fill in your personal details", and employees see it in Tasks, notifications and emails, so they know exactly what to do. Signing tasks now open on a separate page with instructions next to the document preview.
Imports update existing job records. When you import Position, Work, Salary or Additional compensation data, a row for the same employee and effective date now updates the existing record instead of failing as a duplicate. Updated rows can be rolled back. Imports and API updates also no longer clear custom fields you don't send, so to fix a single value, you import just the effective date and that field. Note for API users: to clear a field, send it with an empty value.
Document templates: placeholders in Word headers are now filled. Placeholders in the header of a Word (.docx) document template, such as
{{employee.full_name}}, are now replaced with employee data when a document is generated. Your documents are ready to send without manual edits. In Compliance (Kadry) documents, a header placeholder is filled only when it's also used in the document body.New look for the Documents page. The Company tab shows documents in a new table with signature type, signers and status. When an eSignature provider is set up, an Awaiting signature tab shows documents that still need signatures. The My tab now has three tabs – Owned, To sign and Signed – instead of folders, so everyone instantly sees which documents are waiting for them.
Approve and Reject buttons always visible in Slack. On PeopleForce approval messages in Slack, such as time off requests, the Approve and Reject buttons now always show straight away, so you can act in one click.PeopleForce Slack messages also have a cleaner layout: they no longer have a coloured side bar, and "Who is out" and leave request replies are shown in two columns, so they're easier to read.
Refresh for Asset Categories settings. Settings → Asset categories has a new design with search, pagination and an asset count for each category. Adding or editing a category opens a small pop-up with an icon picker, and deleting asks for confirmation first. Organising your assets is now quicker, and nothing is removed by accident.
Refreshed Billing page. The Billing page has a new, clearer design that highlights your plan, billing details and invoices, so you can find everything about your subscription in one place.
Refreshed Calendars settings. Settings → Calendars has a cleaner layout, with the iCalendar feed setting in its own card and a confirmation when you save.
Refreshed Exports settings. Settings → Exports has a new design with a coloured status for each export – Download available, In progress or Download expired – and a Download action in each row, so you can see at a glance which files are ready.
Refreshed Probation policies settings. Settings → Probation policies has a new design with search and a simple pop-up for adding and editing policies. Deleting a policy now asks for confirmation.
Refreshed Webhooks settings. Settings → Webhooks shows endpoints in a table with their status. Each endpoint shows its deliveries with the result, response code and date, and you can redeliver an event in one click, so troubleshooting integrations is much easier.
Faster pages. Most list pages, such as Candidates, Tasks, Assets, Workflows, Desk cases, Payroll runs and Documents, now open straight away, and table rows load right after. You can start filtering or searching without waiting for the whole page.
AI features run on a newer model and write in your company's language. AI features in Recruit, Perform and Pulse now use a newer AI model. This covers candidate screening, scoring criteria, interview summaries, review answers and insights, course drafting and survey drafting. AI interview summaries and performance review insights are now written in your company's default language and refer to people by name or as "they", instead of guessing their gender. Results are more accurate and inclusive.
Smarter answers from Companion. Companion, your AI assistant, now answers more questions and gives more accurate answers. Ask it:
What's waiting in your Inbox – approvals, tasks, surveys, reviews, documents to sign and courses.
About leave requests and their status – yours and those of people whose leave you can see, including pending, rejected and withdrawn requests.
Who on your team is out, with a day-by-day count, including people who've been hired but haven't started yet.
When your next 1:1 is and what your objectives are.
Companion now runs on a newer model and knows today's date in your time zone, so answers about "today" or "next week" are always right. This feature is available on request.
💡 AI Companion is currently available under a Feature Flag (FF). To start using it, please contact us at support@peopleforce.io.
Recruit
Recruit
New look for the Candidates list. Recruit → Candidates has a new design with a new table, filters and a bulk action bar at the bottom of the page, so working with large candidate lists is quicker and clearer. Add candidate opens a new form that warns you about duplicate phone numbers, and the Send email window shows how many candidates will get the email. Some actions have new names: for example, Assign is now Assign to vacancy and Request consents is now Request GDPR consent.
New version of Prospector (Beta). New version of Prospector (Beta). Prospector has a refreshed look and captures candidates from LinkedIn and supported job sites faster and more accurately, including their photos. Without leaving Prospector, you can now find and update candidates, assign them to other vacancies and add them to talent pools. Sourcing becomes a few clicks instead of copy and paste.
Shorter candidate cards on the vacancy board. On the vacancy board, candidate cards now show only fields that have a value, so cards are shorter and you see more candidates on the screen at once.
Candidate location is shown on the vacancy board. You can now add Location to candidate cards on the vacancy board in View settings → card fields, so you can see where candidates are based without opening their profiles. If a candidate has no location, the row is hidden.
Automated emails always use the latest template. The Send email automation on pipeline stages and disqualification reasons now lets you choose the email content. Select Template, and every email uses the latest version of that template – no need to update your automations each time you edit it. Existing automations keep working as before.
Delete cancelled interviews. You can now delete a cancelled interview from a candidate's Interviews tab. It's removed from the list and from My interviews, but the candidate's timeline still shows that it was scheduled and cancelled. Your interview list now shows only the interviews that matter.
Delete candidates from a vacancy in bulk. Select several candidates in a vacancy, in the Qualified or Disqualified view, and click Delete candidates. This removes them from PeopleForce, from every vacancy, together with their recruitment history, and each bulk deletion is recorded in the System log. Cleaning up a vacancy after hiring now takes seconds.
Refreshed Sources settings. Settings → Recruit → Sources has a new design with search, pop-ups for adding and editing, and a confirmation before deleting. Built-in sources can be renamed but not deleted. Tidy sources mean more reliable recruitment reports.
Candidate and vacancy tags on one page. Candidate tags and Vacancy tags are now on one page in Settings → Recruit, with a tab for each list. Adding or editing a tag warns you about duplicate names, and deleting a tag shows that it will be removed from every candidate or vacancy that has it.
Faster switching between Board and List views. When you switch a vacancy between Board and List views, the new view now opens straight away, even in large vacancies, so you can keep working without waiting.
Perform
Perform
Refreshed Objective tags settings. Settings → Performance → Objective tags has a new design with search, pagination and a pop-up for adding and editing tags. Deleting a tag now asks for confirmation, and your search and page are kept after any change.
Refreshed 1:1 types settings. Settings → Performance → 1:1 types has a new design with search, pagination and a pop-up for adding and editing types. Deleting a type now asks for confirmation, so nothing is removed by accident.
Time
Time
Clock-in and clock-out tolerance in attendance policies. People rarely clock in and out exactly on time, and small differences add up to overtime that wasn't really worked. Attendance policies now have a Clock event tolerance setting, where you set how many minutes (0–240) before and after the scheduled start and end time count as on time. For employees with fixed-time work patterns, a clock-in or clock-out within this window is moved to the scheduled start or end time, so managers no longer need to correct timesheets manually. This feature is available on request. More here.
💡 This feature is currently available under a feature flag. To start using it, please contact us at support@peopleforce.io.
Kadry
Kadry
Download signed documents from a Kadry case. You can now download signed documents directly from the document preview in a Kadry case, without having to look for them in Documents
Control case notifications for process owners. Admins can now turn off specific types of notifications about Kadry cases and document management for the whole company, temporarily or permanently. This keeps process owners' inboxes calm, for example while you're still testing Kadry.
💡 This feature is currently available under a feature flag. To start using it, please contact us at support@peopleforce.io.
Filter HR process cases by legal entity and employee fields. The list of HR process cases now has filters for legal entity and for employee selection fields, such as a reference person, so you can find the cases you're responsible for in seconds.
New Job group path placeholder. The job group placeholder now shows only the group of the employee's job profile. Use the new Job group path placeholder to show the full path of job groups in compliance documents, so your orders reflect the administrative structure exactly as required.
Initials placeholders show first-name and patronymic initials. In Kadry document templates,
{{employee.initials}}and{{manager.initials}}now show the initials of the first name and patronymic without the surname, for example "Т.С." (or "Т." if there's no patronymic). Before, they showed the surname and one initial. The built-in Hire application and order templates add the surname next to the initials and are updated automatically. If you use this placeholder in custom templates, check that they still read the way you need.Military accounting tab on the employee profile. Employee profiles now have a Military accounting tab with all the military registration fields required by Ukrainian labour law and for reports to government authorities. For companies that already collect this data in hire processes, existing values will be moved to the new tab. Instead of keeping military records in spreadsheets, you now have them in one secure place next to the rest of the employee's data.
Payroll
Payroll
Payroll is now available to everyone. Calculate pay with the salaries, compensation, time off and overtime that are already in PeopleForce, instead of moving data between systems.
Refreshed payroll cycles. The payroll cycle view has a refreshed design, so it's easier to see all runs in a period and open the one you need.
Payroll runs now open in focus mode. Payroll runs now open in focus mode. Use the previous and next arrows to move between runs, for example, to compare a run with the previous one or check compensation moved to a future run.
Add one-off payments to a payroll run. Payroll managers with edit access to compensation can now click + Entry in a payroll run to add one-off additional compensation or adjustments, such as a holiday bonus. Add an entry for one person, everyone in the run or a group chosen by conditions, with the same or a different amount for each person. One-off payments go straight into payroll, with no extra forms or requests. You can edit or delete entries while the run is in progress, and once the run is approved, they're saved to the employee's Compensation tab.
Pay overtime and special hours in payroll runs. Payroll runs now have a Premium hours tab that shows approved overtime and special hours from the Time module. The amount is calculated from the hours, the multiplier set in the attendance policy and the employee's hourly rate. For this, the employee needs an attendance policy with overtime mapped to a compensation component. Overtime is paid correctly every month, with no manual calculations.
API
API
Manage compensation additions and deductions via the API. You can now add and manage employees' compensation additions and deductions through the Public API, so bonuses and deductions from other systems reach PeopleForce automatically.
Locations and job levels in API v4. API v4 now has endpoints for locations and job levels, so you can keep them in sync with your other systems automatically.
Work pattern start and end times in the API. The Public API now returns the start time, end time and break hours for each day of a work pattern, not just the number of working hours. Connected systems, such as your ERP, know exactly when each employee is scheduled to work.
Connect attendance terminals via the API. A new Public API endpoint lets you connect the systems your company uses to record attendance, such as swipe cards or face ID terminals, to PeopleForce. Clock-ins, clock-outs and breaks are added straight to the employee's timesheet, so your attendance data is accurate and always up to date, without manual imports.
Mobile
Mobile
Comment on absence requests in the mobile app. Absence request details in the mobile app now have a Comments section with a count. Employees and approvers can read the whole discussion, add comments and attach files right from their phone, for both pending and approved requests. Files attached to comments on the web also open in the app.
