Welcome to Part 2 of the two-part PeopleForce implementation process article (see Part 1 before starting Part 2). Completing this article will include customizing and automating key HR processes, ensuring you make the most of the platform while saving precious time. Once you're done, you’ll be ready to invite your employees to PeopleForce and officially launch!
To get started, use the Implementation Plan created by PeopleForce's Customer Success team alongside your implementation of PeopleForce to ensure every step is taken care of. Download our Implementation plan at the bottom of the article.
Step 4: Automating HR processes
Set up New hire form: This is used to create a new employee profile in PeopleForce, adding all the necessary information for pre-boarding and onboarding processes.
Set up the preboarding form: This part will be the first time a new hire will interact with PeopleForce, in which you will welcome them to your organization and ensure that the data in their employee profile is correct. Create as many preboarding forms as needed for different departments or locations.
Set up Onboarding workflows: Use this to break down each task needed for a smooth process, such as employee onboarding, from sending welcome letters to completing required tasks.
Set up Offboarding workflows: Use this to organize a seamless transition for departing employees. From facilitating exit interviews to handling necessary documentation and account closures, structured workflows will streamline the entire offboarding procedure.
Step 5: Managing documents
Create document folders for employees and company docs.
Upload documents to the folders in the employee profile or use the bulk upload from the Documents tab.
Step 6. Create termination types and reasons
Create termination types to choose from while terminating the employee.
Create termination reasons to choose while terminating the employee.
Step 7. Import all asset data to the system
Prepare the template with the list of all your company assets.
Step 8. Set up alerts
Set up alerts so as not to miss important events in your company, such as probation ending or employee birthday.
Step 9. Authentications
Enforce two-factor authentication (2FA) for all company employees.
Step 10: Set up permissions and create reports
Manage permissions: Define what people in your organization can see and do in different roles.
Create custom roles: Create custom roles, so your people can perform their job responsibilities.
Create customized reports, i.e., current salary amount.
Step 11: Connecting integrated tools
Connect your company calendar with Microsoft Calendar.
Connect your company calendar with Google Calendar.
