Learn how to manage candidates profiles on the company level

With Recruit, you can effortlessly create and post vacancies on job portals, review candidates in a centralized database, and engage HR managers and employees in hiring.

View your candidate's profile

In the candidate's card on the Overview tab, you can see all the fields with filled information:

- First and last name

- Email

- Phone number

- Various links associated with the CV

- Custom fields and tags you added

Additionally, it will display the uploaded CV, the name of the person who added the candidate, the date they were added, and the source used to find them.

Empty candidate fields are collapsed in the candidate profile so you can view the candidate’s resume without scrolling.

Manage offers

In the Offers tab, you can use offer templates to send an offer to the candidate. The status of offers is reflected in the interface. After sending an offer, the following steps are activated:

  • The first two steps are activated when the offer is sent.

  • When the candidate opens the email containing the offer, it is marked as "Viewed."

  • Once the candidate signs the offer, all four buttons related to the offer status will be highlighted in green.

Schedule interviews

Within the Interview tab, schedule interviews with candidates and add interview participants and scorecards for evaluating the candidates.

Create tasks

The Tasks tab is helpful in creating tasks related to a candidate. For example, you can set a reminder to call back a candidate or send them some files. You can also create tasks for collaborators involved in the hiring process, such as reviewing the candidate's CV before the interview.

To create a task:

1. Click on "Add a task."

2. Write the task description.

3. Select the person responsible for the task.

4. Specify the due date.

The responsible person will see the task assigned to them in their To-do's widget on the Home page.

Create and send emails

The Emails tab is needed to communicate with the candidate by email using templates you have pre-configured in the Recruit settings. You can select a template and send it. When the candidate responds, the email will arrive in PeopleForce and be duplicated in your mailbox.

Submit a scorecard

The Scorecards can be filled at any stage of the vacancy, and each employee involved in the recruitment can leave their assessment of the candidate.

Manage tests and documents

When a test is attached to a vacancy, the process is streamlined as follows:

  • Sending test:

    • Click the Send test button to send the test to the candidate's email promptly.

  • Test results:

    • Once completed, the test results are sent directly to the candidate's PeopleForce card.

    • Results are stored throughout recruitment and remain in the database.

  • Additional documents:

    • In the Documents tab, upload any additional documents submitted by the candidate.

View the candidate's history

You can access the History section to view a comprehensive record of all actions taken, stages of recruitment, and files sent to the candidate.

Move the candidate to the next stage

Click the Proceed button to move a candidate to the next hiring stage. Alternatively, you can move the candidate within the vacancy hiring board.

Disqualify a candidate

You can reject a candidate by clicking the red button next to Proceed in the candidate profile and selecting the pre-created reason for rejection.

Remove from the vacancy

Click on the three dots button after the Reject button. Click on the Remove from vacancy button.

Assign to a vacancy

Use the Assign button to assign the candidate to a certain vacancy, which you can choose from the drop-down menu.

Hire as an employee

You can also hire a candidate by clicking the three dots icon at the top right side of the profile, and then you have to click the Hire as employee button.

📌 After you hire a candidate, you will be redirected to fill in the New hire form, where you can fill in all the necessary fields about the newcomer.

Send GDPR request consent

To send this request to a candidate already in the vacancy funnel, click on the three dots in the candidate card and select GDPR request consent.

Candidates receive the GDPR request consent in their email, where they can follow the provided link to review additional information about the privacy policy and accept or reject the request. Additionally, candidates can use the email contact of the privacy officer to inquire about the deletion of their personal data.

Delete a candidate

You can delete a candidate from the candidate profile by clicking the Delete candidate button. This action will remove the candidate from the candidate's database.

Leave notes about the candidates

You can also tag your recruitment team colleagues so that they can see your new notes. All tagged employees will receive a notification in the system and their email. When reviewing a candidate, you can add any images to the candidate notes.
